Job summary

The Wise Group is seeking a Property & Projects Coordinator to support maintenance, facilities, compliance, and capital works across our national property portfolio. You will coordinate activities, documentation, reporting, supplier relationships, and stakeholder communications to ensure safe, efficient, on-time delivery.

The role requires strong organisation and a collaborative mindset. You will work closely with the Property & Asset Manager, bringing 2+ years of relevant experience, solid PM

Qualifications

  • At least 2 years' experience in project coordination, property administration, facilities coordination, or a similar role.
  • Understanding of project management principles and project delivery processes.
  • Strong organisational skills and attention to detail.
  • Excellent communication and relationship-building skills.
  • Ability to collaborate, influence, and work with diverse stakeholders.
  • Experience with procurement, contract administration, or facilities/property activities.
  • Proficiency in MS Word and Excel.
  • Full driver's licence and commitment to Te Tiriti o Waitangi.

Responsibilities

  • Coordinating maintenance, improvement, and capital works projects.
  • Monitoring project budgets, timelines, risks, and deliverables.
  • Managing project, procurement, and contract documentation.
  • Supporting supplier, contractor, and stakeholder engagement.
  • Maintaining project records, reporting, and compliance requirements.
  • Contributing to continuous improvement initiatives and processes.

About The Role:

Reporting to the Property & Asset Manager, the Property & Projects Coordinator supports the delivery of maintenance, facilities, compliance, and capital works projects across our national property portfolio. You'll coordinate project activities, documentation, reporting, supplier relationships, and stakeholder communications to help ensure projects are delivered safely, efficiently, and on time. This role requires strong organisation skills, sound project coordination capability, and the ability to build positive working relationships across a wide range of stakeholders.

Key responsibilities include:
  • Coordinating maintenance, improvement, and capital works projects
  • Monitoring project budgets, timelines, risks, and deliverables
  • Managing project, procurement, and contract documentation
  • Supporting supplier, contractor, and stakeholder engagement
  • Maintaining project records, reporting, and compliance requirements
  • Contributing to continuous improvement initiatives and processes

This is a full-time role working 40 hours per week, Monday to Friday, with occasional after-hours work required to support projects and operational needs.

Skills & Experience:
  • At least 2 years' experience in project coordination, property administration, facilities coordination, or a similar role
  • An understanding of project management principles and project delivery processes
  • Strong organisational skills and attention to detail
  • Excellent communication and relationship-building skills
  • The ability to collaborate, influence, and work effectively with a diverse range of stakeholders
  • Experience with procurement, contract administration, or facilities/property activities
  • Proficiency in Microsoft Office, particularly Word and Excel
  • A proactive, adaptable, and solutions-focused approach
  • A full driver's licence and commitment to Te Tiriti o Waitangi
