Job summary

Deloitte New Zealand in Christchurch is seeking a dedicated Personal Assistant to join the team on a full-time, permanent basis. You will provide high-quality, end-to-end executive support across both Technology & Transformation and Strategy, Risk & Transactions, working closely with three Partners, and you will manage diaries, travel, meeting arrangements and a range of administrative tasks.

Responsibilities

  • Provide end-to-end executive support across diary and inbox management.
  • Coordinate key initiatives and partner travel and meeting arrangements.
  • Deliver efficient administrative support to Partners.
  • Support office-wide events and activities in Christchurch.
  • Manage systems and ensure CRM, timekeeping and billing tools are up to date.
  • Prepare client deliverables with high-quality formatting in PowerPoint and Word.

Our Christchurch office is seeking a Personal Assistant to join the team in a full-time, permanent position. This role will provide dedicated support across both our Technology & Transformation (T&T) and Strategy, Risk & Transactions (SR&T) teams, working closely with three Partners.

Reporting directly to the Partners, you will provide high-quality, end-to-end executive support across a broad range of activities. This includes diary and inbox management, coordinating key initiatives, managing travel and meeting arrangements, and delivering efficient administrative support to the Partners. In addition, you will play a key role in supporting office-wide events and activities within the Christchurch office, helping to foster a professional, well-connected, and collaborative working environment.

Job Description

The impact you'll make:

  • Travel and Event Coordination: Anticipating and coordinating travel logistics, accommodations, and meeting arrangements, with added support for internal and external events.
  • Financial Administration: Handling expenses, processing of invoicing for Partners, and supporting the wider team with financial processes.
  • Diary Management: Proactively managing schedules, ensuring efficient meeting arrangements, and swiftly resolving any potential conflicts.
  • Systems Management: Updating and maintaining vital business applications such as CRM, time management, and billing systems.
  • Document Excellence: Preparing, formatting, and quality assuring high-calibre client deliverables. Ensuring consistency, accuracy, and alignment with firm standards using Microsoft PowerPoint, Word, and other business applications.
  • Culture Leader: Actively contributing to office culture development, driving initiatives, and assisting in effective communication management.
  • Efficiency Enhancement: Developing and maintaining streamlined office systems to optimize productivity.
  • Communication Liaison: Proactively managing correspondence and inquiries with professionalism and accuracy, ensuring prompt responses.
  • Collaborative Integration: Collaborating seamlessly with fellow support team members across the organization.
  • Events and Meeting Management Support; this may include supporting Partners with logistics, material and content and ensuring the event/meeting is a success.
  • Office-wide Support: Providing delivery support to the broader office administration group, such as providing support for full office events.

Qualifications

Your expertise:

  • Previous experience in a similar role, with a professional but also personable character.
  • Strong organisational skills, seasoned at multitasking, prioritisation and juggling competing priorities.
  • Exceptional attention to detail and the creative use of initiative in forward planning.
  • Strong client focus with the ability to communicate to a variety of stakeholders.
  • The ability to build a network of strong working relationships both internally and externally.
  • Proficiency across Microsoft Office.
  • Demonstrated commitment to continuous learning and development.
