Job summary

Alexandra Hospital is seeking a detail‑oriented administrative professional to support diet control, meal ordering, and kitchen coordination. The role involves handling calls, data entry, and preparing meal chits for daily operations.

You will collaborate with Dietitians, Nursing and Kitchen staff to ensure accurate meal provision and timely communication. The position requires shift work and strong IT and communication skills.

Qualifications

• Strong communication and phone etiquette required.
• Diploma in Food Science, Nutrition, or equivalent preferred.
• Proficiency in Word, Excel, and PowerPoint.
• Able to work independently and as a team.
• English both spoken and written.
• Willing to work long shifts and weekends.

Responsibilities

• Manage diet control administration and patient meal-related matters.
• Handle telephone calls, enquiries and feedback; record and relay messages to departments.
• Collate meal data for kitchen production summaries.
• Generate daily meal summaries via the electronic meal ordering system.
• Create patients' meal chits from the ordering system for meal assembly.
• Maintain a daily operations and complaints log with actions taken.
• Assist kitchen during meal assembly and ensure accurate loading of meals.
• Monitor operational KPIs and measurable indicators regularly.
• Collate and monitor operations reports, flag discrepancies to the Reporting Officer.
• Coordinate with Dietitians, Speech Therapists, and Nursing on meal requirements.
• Requisition, control and maintain office supplies within the department.
• Order, receive, issue, and perform stock takes; ensure proper storage.
• Maintain inventory management system and update regularly.
• Deliver goods from stores to relevant departments as required.
• Prepare and write minutes of meetings.
• Perform other duties as assigned by the Reporting Officer.
