Job summary

Christchurch City Council is seeking an organised, relationship-focused Panel Coordinator to support the Three Waters HDM Panels. You will coordinate governance meetings, manage records and engage suppliers to ensure governance and contract administration is delivered effectively.

The role focuses on continuous improvement, data-driven decision making and collaboration with internal teams, suppliers and contractors to enhance efficiency and value for money.

Qualifications

• Experience in coordination, administration, project support or contract management.
• Strong relationship-building and stakeholder engagement skills.
• Excellent organisational skills with multiple priorities and deadlines.
• Confidence working with systems, data and reporting to inform decisions.
• Strong written and verbal communication.
• Continuous improvement mindset to enhance processes and governance.
• Advanced MS Office skills: Excel, Word, Teams, SharePoint.

Responsibilities

• Coordinating HDM governance meetings, forums, workshops and reporting.
• Managing panel records, systems, documentation, workflows and SharePoint.
• Liaising between Council and panel suppliers for contract communications.
• Supporting supplier performance monitoring, KPI reporting and safety compliance.
• Providing procurement guidance to internal stakeholders using panel arrangements.
• Maintaining contract and governance documentation and accessibility.
• Building strong relationships with suppliers, contractors and Council teams.
• Identifying opportunities to improve processes and reporting.
• Analyzing supplier, contract and operational data to support decisions.
