Job summary

Health New Zealand | Te Whatu Ora is seeking a dedicated Inventory Coordinator to join the Northern Region supply chain. You will manage stock in wards and theatres, ensure accurate counts, and keep clinical teams informed to support patient care.

In this role you will count, replenish, and transfer stock, monitor Oracle Inventory, and work with clinical staff to prevent stockouts. A practical mindset, attention to detail, and proficiency with MS Office are essential.

Qualifications

  • Proven experience in stock management in healthcare or similar environment.
  • Able to learn protocols for handling sterile stock and dangerous goods.
  • Strong knowledge of MS Office, especially Excel, PowerPoint and Word.
  • Familiarity with Oracle Inventory or similar ERP system preferred.

Responsibilities

  • Counting, ordering, and replenishing stock for wards and theatres.
  • Performing periodic stock counts and reconciling with Oracle output.
  • Conducting inter-inventory transfers to reduce expired or slow-moving stock.
  • Communicating stock issues and backorders to team leaders and customers.
  • Managing stock levels to ensure timely availability for patient care.

About the Role

We are seeking a dedicated and detail-oriented Inventory Coordinator to join our Supply Chain team in the Northern Region.

This role is responsible for managing allocated inventories located in wards, theatres, and other district departments where clinical stock is maintained by the supply chain team. You will ensure accurate stock levels are maintained through accurate counting, replenishment, and effective communication with clinical customers and your team leader.

You will be the single point of contact for all inventory activities within your designated areas, playing a vital role in ensuring clinical teams have the right products available to support excellent patient care.

Key responsibilities include:
  • Counting, ordering, and replenishing all stock for designated ward and theatre areas in accordance with Health New Zealand policy and process.
  • Performing frequent periodic stock counts in accordance with schedule of output from Oracle and in compliance with inventory management processes.
  • Performing inter-sub inventory transfers between locations to avoid expired and slow-moving stock.
  • Communicating all potential stock issues – including overstocks, stock returns, and out-of-stocks – to the Team Leader in a timely manner.
  • Proactively communicating with customers regarding backorders, potential stock-outs, and forecast demand changes.
  • Assisting in the implementation of new product introductions or product changes as directed by the Team Leader.
  • Monitoring and maintaining the integrity of the Oracle Inventory System through periodic inventory counts.
About the Team

The Procurement, Supply Chain and Health Technology Management (PSC&HTM) team plays a critical role in enabling equitable and sustainable healthcare by ensuring staff have the products and resources they need to provide care. The Distribution team supports the delivery of healthcare services across the Northern Region by ensuring products and supplies flow efficiently throughout hospital environments.

Working closely with Clinical Product Coordinators, Purchasing, Warehouse Inventory Controllers, Charge Nurses, and ward staff, the team ensures the right products are available at the right time to support patient care.

About You

You are a motivated and customer-focused supply chain professional with a willingness to learn and a strong commitment to accuracy and process. You enjoy working in a fast-paced environment, building relationships with clinical teams, and ensuring the right products are always available to support care delivery.

You will bring:
  • An ability and willingness to learn protocols and best practice procedures for handling and supplying sterile stock.
  • An ability and willingness to learn about products and supplies relevant to the health environment.
  • An ability and willingness to learn about the handling of dangerous goods.
  • Sound working knowledge and capability with the MS Office Suite, including Excel, PowerPoint, and Word.
  • Proven experience applying health and safety systems practice in logistics or manufacturing environments.
  • Strong communication skills with the ability to adapt your approach to different audiences and situations.
  • A commitment to professionalism, integrity, and ethical behaviour.
  • A collaborative, customer-focused approach with a commitment to continuous improvement.
Desirable
  • 2–3 years of formal training in Supply Chain Management or experience in warehousing, imprest, or stock control (including Clinical Imprest).
  • At least 12 months of electronic data entry or order entry experience, preferably using Oracle.
  • Minimum of 5 years' experience in Supply Chain, with experience in the health sector highly regarded.
  • Extensive use of ERP/MRP or other integrated technology in daily operations.
