We’re looking for an HR & Projects Administrator to join us on a fixed-term basis until 26 February 2027. This is a varied role that combines day-to-day HR administration with project coordination support for the Napier Port Transformation (NPT) Testing and Verification workstream.

What you’ll be doing

Working across our People Team and NPT project activities, you’ll help keep information organised, processes running smoothly and key administrative requirements on track. Your priorities will include:

  • Coordinating pre-employment checks, employment documentation, onboarding and offboarding activities.
  • Maintaining accurate and confidential employee and project records.
  • Responding to first-level employee enquiries and escalating matters requiring specialist HR advice.
  • Supporting people initiatives and training, including coordinating activities, preparing materials and maintaining records.
  • Supporting autonomous vehicle testing, verification and operational readiness activities within the NPT workstream, including comparing testing data and written instructions with video evidence to help identify anomalies.
  • Coordinating testing schedules and participant requirements, tracking issues, actions and outcomes, and keeping project documentation and supporting evidence accurate and up to date.

What you’ll bring

You’ll be someone who enjoys bringing structure to a busy environment and can confidently move between people-focused administration and project coordination.

To be successful in the role, you’ll bring:

  • Strong administration, organisation and time-management skills, with the ability to balance competing priorities.
  • Excellent attention to detail and a commitment to producing accurate, well-presented documents and records.
  • Clear and professional communication skills and a helpful, service-focused approach.
  • Sound judgement when working with sensitive or confidential information, including knowing when to expand an issue.
  • Confidence using Microsoft 365 and the ability to learn and work effectively with HR and tech project systems.
  • The ability to coordinate activities, keep others informed and follow actions through to completion.
  • Practical problem-solving skills and a willingness to suggest improvements to administrative processes.
  • An adaptable approach and willingness to learn new processes, systems and ways of working.
  • A strong commitment to safe and professional working practices.

If your experience has come from a different pathway but you have strong transferable administration and coordination skills, we’d still encourage you to consider applying.

You’ll have the opportunity to apply your administration skills across both HR and a significant transformation workstream, giving you variety and exposure to different parts of our organisation. Applications close: Friday 6 November 2026. Note: You must have current eligibility to work in NZ.
