Job summary

Port Otago is seeking a Planning Administrator for a 12-month fixed term role based at Port Chalmers (Dunedin). The role supports Marine & Infrastructure and Operations teams with forecasting, rostering, and planning across weekend shifts in a 24/7 port environment.

You will become a system expert for workforce planning, contribute improvements, and provide admin support to the Marine Team while coordinating with various stakeholders to ensure timely services for customers.

Planning Administrator - Fixed Term (12 Months)

About the role:

Reporting to our Marine Planner, we have an exciting opportunity for a Planning Administrator to join our Marine & Infrastructure team on a 12-month fixed term full-time basis in our vibrant, and collaborative Head Office in beautiful Port Chalmers.

This is not your typical Monday to Friday position. The Port operates 24/7, and for this role we are looking for someone to support both our Marine Team and Operations Team with forecasting and planning over the weekend, and we are open to the successful candidate working a Wednesday through to a Sunday, or Friday through to a Tuesday.

What your day could look like:

Your main area of responsibility will be to use electronic database systems and effective forecasting methods to ensure our Marine floating plant and resources can deliver timely and effective services for our customers.

To do this effectively you’ll be someone who has an eye to the future and can forecast well, you’ll be a natural at following rules and processes and be comfortable using systems to complete your work. Ultimately the work you do will ensure that our people resources are allocated to deliver timely and effective services to our customers (shipping lines).

Over time you’ll become one of our subject matter experts for roster issues and will be a key point of contact for our Marine supervisors and leaders for all their queries about our workforce planning system. Like any system, we need to make sure ours keeps up to date with improvements - you’ll have an opportunity to get involved in suggesting improvements, testing system changes, implementing those changes and supporting/training other systems users. You will also provide general administrative support to our Marine Team on a day-to-day basis.

You will also support our Operations team, particularly over the weekend, with forecasting and planning by helping develop operational forecasts, preparing adjustments to vessel plans as needed, monitoring weekend labour plans, and managing any shift cancellations or adjustments that come up, in consultation with the Optimisation team.

  • Has advanced skills in word and excel, and is comfortable and is also experienced analysing data sets
  • Has high levels of accuracy and attention to detail, while remaining efficient
  • Has the ability to see the big picture, assess risk and requirements and form great solutions
  • Prior working knowledge within a marine environment or the transport/logistics/shipping industry is a bonus, but not essential
  • Ideally has some workforce or other planning/allocation experience, but this isn’t essential for the right applicant
