Job summary

Hotel Indigo Auckland, part of IHG Hotels & Resorts, is seeking a highly organized Group Sales Coordinator. You will manage contracted group bookings from handover to post-stay follow-up, coordinate with Sales, Reservations and Operations, and ensure accurate rooming lists and billing.

You will liaise with clients to handle enquiries and amendments, optimise inventory, and support revenue opportunities while maintaining exceptional guest experiences.

Qualifications

• Hotel reservations, sales coordination or group bookings experience required.
• Ability to manage multiple groups, deadlines and complex details.
• Strong communication with clients, guests and internal teams.
• Experience using a hotel property management system; familiarity with HotelKey is an advantage.

Responsibilities

• Take ownership of contracted group bookings from handover through to arrival and post-stay follow-up, ensuring every detail is accurate and professionally managed.
• Monitor contract milestones, cut-off and release dates, attrition clauses and payment schedules.
• Act as the primary coordinator for all group-related booking activity across departments.
• Create, load and maintain group bookings in the PMS and manage rooming lists with accuracy.
• Ensure billing requirements, deposits and pre-payments are handled per terms and queries resolved.
• Support client and guest enquiries, amendments and ensure a seamless arrival and stay.
• Monitor room blocks and inventory, supporting revenue optimisation and supplier collaboration.
• Coordinate information flow between Sales, Reservations and Operations for group arrivals.
• Provide reporting and administrative support to the Sales team and manage the sales inbox.
• Support Reservations during peak periods and participate in weekend coverage.
• Coordinate post-stay administration and client follow-up to support ongoing relationships.
