Job summary

Auckland Council’s Customer and Shared Services directorate is seeking a Governance Coordinator to join the C&SS Executive Office team.

This role supports the effective operation of the GSS Board and the Technology and Data Governance Group, ensuring governance advice, decisions and actions are well planned, coordinated and progressed. You will maintain governance rhythms, follow up authors, monitor timeframes and escalate as needed.

  • Experience in governance coordination, executive support, programme coordination or a related operational advisory environment.
  • Experience working in a large, complex organisation where timely, accurate governance processes are important.

  • Identify risks to delivery, quality or timeframes and escalate early when additional support is needed.
  • Coordinate agendas, minutes, actions and paper processes for governance meetings.

Auckland Council’s Customer and Shared Services (C&SS) directorate has an opportunity for a Governance Coordinator to join the C&SS Executive Office team.

This role supports the effective operation of the Group Shared Services (GSS) Board and the Technology and Data Governance Group, ensuring governance advice, decisions and actions are well planned, coordinated and progressed.

You will play a key role in maintaining governance rhythms and driving timely input from across the business. This includes actively following up report authors, monitoring progress against agreed timeframes, ensuring actions are completed, managing schedules and identifying early when matters may be delayed, require further support, or need escalation.

This opportunity is ideal for someone who is highly organised, proactive and confident working with a wide range of stakeholders to keep priorities moving.

You could expect to work on:

  • managing the GSS Board forward work programme, including coordinating paper planning, schedules and deadlines
  • proactively following up authors and stakeholders to ensure Board advice is developed and submitted on time
  • identifying risks to delivery, quality or timeframes, and escalating matters early where additional support is needed
  • coordinating the Technology and Data Governance Group and Working Group meetings, including agendas, minutes, actions and paper processes
  • acting as a first point of contact for technology and data governance queries, providing clear updates and guidance on agreed processes

This role requires experience in governance coordination, executive support, programme coordination or a related operational advisory environment. You will have experience working in a large, complex organisation where timely, accurate and well-managed decision-making processes are important .

We will be looking for specific experience with the key role requirements:

  • managing governance meeting processes, including agendas, papers, minutes, actions and decision records
  • coordinating forward work programmes, workplans or schedules across multiple stakeholders
  • proactively monitoring deadlines, following up deliverables and escalating delivery risks or issues
  • preparing clear written material, including minutes, updates, correspondence and brief reports
  • using Microsoft Office applications, including Word, Excel and PowerPoint; experience preparing professional presentations would be an advantage
