Job summary

Qualifications

  • Around 1 year of experience in facilities coordination or similar role.
  • Strong organisational and administrative skills with attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Excellent communication and customer service skills.
  • Confidence working with contractors, suppliers, and internal stakeholders.
  • Experience with invoicing, purchase orders, and work order systems (e.g., JDE).
  • Legal right to work in New Zealand.

We're looking for a proactive and organised Facilities Coordinator to join our Wellington team, supporting a diverse portfolio that includes major government agencies and commercial clients. This is a fully on-site role , offering variety, responsibility, and the opportunity to work closely with clients, contractors, and internal teams to ensure facilities services are delivered efficiently and to a high standard.

About the Role | Mō te Tūranga

Reporting to the Contract Manager, you'll play a key role in supporting the day-to-day delivery of facilities management services across the portfolio.

You'll coordinate maintenance activities, manage service requests, support contractor engagement, and help ensure operational processes run smoothly. This role is ideal for someone who enjoys building relationships, solving problems, and keeping things organised in a fast-paced environment.

Key responsibilities include:
  • Coordinating day-to-day facilities and maintenance activities
  • Liaising with contractors, suppliers, clients, and internal teams
  • Monitoring service delivery against agreed KPIs and contract requirements
  • Managing work orders, service requests, and escalations
  • Supporting contractor onboarding, accreditation, and compliance requirements
  • Maintaining accurate records, documentation, and client files
  • Assisting with invoicing, WIP management, and invoice queries
  • Preparing reports and operational data as required
  • Supporting planned and reactive maintenance programmes
  • Contributing to continuous improvement initiatives and process efficiencies
About You | Mōu

We're looking for someone who is organised, customer-focused, and enjoys working collaboratively with a wide range of stakeholders.

You'll bring:

  • Around 1 year's experience in facilities coordination, property administration, service coordination, or a similar role would be beneficial
  • Strong organisational and administrative skills with excellent attention to detail
  • The ability to manage multiple priorities and work to deadlines
  • Excellent communication and customer service skills
  • Confidence working with contractors, suppliers, and internal stakeholders
  • Strong problem-solving skills and a proactive approach
  • Intermediate Microsoft Office skills, including Excel, Word, and Outlook
  • Experience with invoicing, purchase orders, work order systems, or JDE would be advantageous
  • The legal right to work in New Zealand
