Job summary

Tataki Auckland Unlimited is seeking an Event Stall holder Coordinator to manage stall holder relationships across Auckland’s major events portfolio. You will own applications, bookings, payments, and site delivery, ensuring clear communication and smooth operations for 350+ stallholders.

Collaborate with event managers, site teams and partners to ensure compliant, safe and engaging food, retail and community offerings across festivals.

Qualifications

  • Three+ years experience in customer service, sales, coordination or administration.
  • Experience supporting or delivering events, festivals or complex operations.
  • Strong project coordination and organisational skills with multiple deadlines.
  • Excellent stakeholder relationship skills across community, commercial and internal partners.

Responsibilities

  • Manage stall holder applications, bookings, allocations, payments, cancellations and replacements end-to-end.
  • Be the main contact for stall holders with clear, timely communication.
  • Develop and maintain stall holder plans, documentation and reporting for each event.
  • Support selection and curation of food, retail and community stall holders.
  • Coordinate operational requirements including power, lighting, LPG, waste, traffic, security, permits and site requirements.
  • Work with Environmental Health and Health & Safety teams to ensure food safety and regulatory compliance.
  • Lead stall holder briefings and meetings on operational and safety requirements.
  • Coordinate stall layouts and delivery with site and production teams.
  • Build relationships with stall holders, community organisations and suppliers.
  • Manage enquiries and resolve issues with diplomacy and customer-first approach.
  • Support sales activities and attract high-quality operators to events.
  • Recruit and coordinate temporary staff to support event delivery.

Tāmaki Makaurau Auckland is home to some of Aotearoa's most vibrant and culturally significant events, bringing communities together and creating memorable experiences for Aucklanders and visitors alike.

As part of Tātaki Auckland Unlimited's Major Events portfolio, we deliver a range of anchor events that help shape Auckland's identity and reputation, including Auckland Diwali Festival, Auckland Lantern Festival, Pasifika Festival and Waitangi Day and Matariki Festival, alongside other exciting events across the city.

We're looking for an Event Stall holder Coordinator to play a key role in bringing these events to life.

In this role, you'll take ownership of the end-to-end coordination of stall holders across our major events portfolio. With more than 350 stall holder relationships to manage, you'll be the central point of contact throughout the application, selection, booking and event delivery process, ensuring stall holders are informed, supported and set up for success.

Working closely with Event Managers, Event Service Managers, site teams and a wide range of internal and external partners, you'll help create well-organised, safe and engaging food, retail and community offerings across our festivals.

Day to day, you will:

  • Manage stall holder applications, bookings, allocations, payments, cancellations and replacements from end to end.
  • Be the key point of contact for stall holders, providing clear, timely and professional communication throughout the process.
  • Develop and maintain stall holder plans, documentation, records and reporting for each event.
  • Support the selection and curation of food, retail and community stall holders to create engaging festival experiences.
  • Coordinate operational requirements including power, lighting, LPG, waste, traffic management, security, permits and site requirements.
  • Work closely with Environmental Health and Health & Safety teams to ensure food safety, gas management and regulatory requirements are met.
  • Lead stall holder briefings and meetings covering operational, event and health and safety requirements.
  • Work alongside site and production teams to coordinate stall layouts and delivery in the lead-up to and during festival days.
  • Build strong relationships with stall holders, community organisations, cultural groups, suppliers and commercial operators.
  • Manage challenging enquiries and resolve issues using sound judgement, diplomacy and a strong customer-first approach.
  • Support sales activity and identify opportunities to attract high-quality commercial, food and retail operators to our events.
  • Recruit and coordinate temporary staff where required to support successful event delivery.
  • Administer across the Major Events portfolio of events where directed by the Group Manager Major Events.

You'll be someone who thrives in a busy event environment where there are plenty of moving parts, competing priorities and people to bring along on the journey.

You're highly organised, confident communicating with people from a wide range of backgrounds and comfortable taking ownership of a process from beginning to end. You'll know how to build trusted relationships while also having the confidence to navigate difficult conversations, enforce requirements and find practical solutions when challenges arise.

You'll bring:

  • At least three years' experience across customer service, sales, coordination or administration.
  • Experience supporting or delivering events, festivals or other complex operational projects.
  • Strong project coordination and organisational skills, with the ability to manage multiple deadlines at once.
  • Excellent stakeholder relationship skills and confidence working across community, commercial and internal partners.
  • Strong written and verbal communication skills.
  • Confidence handling sensitive or challenging conversations with diplomacy and professionalism.
  • Sound problem-solving and decision-making skills, particularly in fast-moving environments.
  • Strong attention to detail and the ability to maintain accurate records, documentation and reporting.
  • A relevant tertiary qualification in event management or a related discipline would be advantageous.
