Job summary

The Eden Park Trust in Auckland is seeking a practical, hands-on Event Set-Up Supervisor to lead the safe set-up and pack-down of events across Eden Park, supervising the venue team and coordinating with hirers and suppliers.

You will plan layouts, check safety, manage equipment and staff, and ensure spaces meet presentation standards for sports, concerts and conferences. Strong organisation, communication and a proactive approach are essential.

Qualifications

  • Experience in event set-up, facilities, venue operations or a hands-on operational role.

  • Practical experience moving event furniture, equipment and tools safely.

About the Role

The Eden Park Trust is seeking a practical, organised and hands-on Event Set-Up Supervisor to join our Facilities team.

Reporting to the Senior Facilities Manager, this role is responsible for leading the safe, efficient and high-quality set-up and pack-down of events across Eden Park.

You will supervise and work alongside the Event Set-Up Coordinator to ensure each space is prepared to the required layout, presentation and safety standards. This is a varied and active role, involving the physical set-up of event spaces, including furniture, flooring, risers and equipment, as well as planning, coordinating resources, supervising staff and liaising with internal teams, hirers and suppliers.

No two days are the same. You could be preparing the venue for a major sporting fixture, corporate function, concert, conference or community event - helping ensure every event is delivered safely, professionally and to a high standard.

Key Responsibilities
Event Set Up & Pack-Down

Lead and actively participate in the set-up and pack-down of event spaces.

Prepare rooms and event areas in line with approved layouts, event requirements and hirer expectations.

Set up and move chairs, tables, risers, flooring, furniture and other event equipment.

Carry out pre- and post-event checks to ensure spaces, furniture and equipment are ready, presentable and in good condition.

Support room readiness, event presentation and guest flow as required.

Ensure event areas are clean, safe and fit for purpose.

Team Supervision

Supervise, guide and work alongside the Event Set-Up Coordinator and event crew.

Allocate tasks, monitor progress and provide clear direction to ensure work is completed efficiently.

Lead by example through active participation in set-up and pack-down activities.

Provide on-the-job coaching and support to build team capability.

Ensure safe work practices and operational standards are consistently followed.

Planning & Coordination

Review event requirements and develop set-up plans, layouts and run sheets.

Coordinate staff, equipment and resources to meet event schedules.

Liaise with internal teams, event hirers, suppliers and contractors to support smooth event delivery.

Identify potential issues early and take a practical, solutions-focused approach to resolving them.

Equipment, Safety & Continuous Improvement

Oversee the safe handling, movement, storage and care of event furniture and equipment.

Maintain organised storage areas and basic inventory records.

Report damaged, missing or faulty equipment and coordinate follow-up as required.

Ensure layouts, seating plans and event areas comply with venue safety, fire and health and safety requirements.

Report hazards, incidents and near misses.

Develop and maintain set-up procedures and identify opportunities to improve efficiency.

What We're Looking For

We're looking for a practical, hands-on and proactive set-up supervisor who enjoys working in a fast-paced event environment and takes pride in delivering high-quality work.

Ideally you'll bring:

Experience in event set-up, facilities, venue operations or a similar hands-on operational role.

Experience supervising staff or leading a small team.

Practical experience handling and moving event furniture, equipment and tools safely.

Strong planning and organisational skills, with the ability to manage competing priorities and tight timeframes.

A high standard of attention to detail and pride in venue presentation.

A strong customer-service mindset and ability to build positive working relationships.

Clear communication skills and confidence working with a range of internal and external stakeholders.

A proactive, solutions-focused approach and willingness to get stuck in.

A commitment to health, safety and safe work practices.

Flexibility to work evenings, weekends and public holidays as required around Eden Park's event schedule.
