About the role
We are seeking a friendly and organised Dental Receptionist to join our team at our Pinehill, Auckland practice on a part-time/possible full time basis. As our Dental Receptionist, you will be the first point of contact for our patients, playing a vital role in creating a positive first impression and ensuring the smooth running of our reception area. This position is essential to our practice operations, helping us maintain our commitment to exceptional patient experience whilst supporting our clinical team to deliver outstanding dental care.
What you'll be doing
- Greeting patients warmly and professionally upon arrival at the practice
- Managing patient appointments using our scheduling system and ensuring efficient appointment flow throughout the day
- Handling patient inquiries by telephone and in person with courtesy and professionalism
- Processing patient registration and maintaining accurate patient records and documentation
- Managing patient billing and payments, including processing invoices and handling insurance claims
- Coordinating appointment reminders and follow-up communications with patients
- Maintaining the reception area to ensure it is clean, welcoming and well-organised
- Supporting the clinical team by preparing treatment rooms and maintaining necessary supplies if needed
- Managing general administrative tasks including filing, data entry and correspondence
- Assisting with practice-related queries and providing information about our dental services
What we’re looking for
- We are a multicultural team, with a multicultural patient base and the ability to speak Mandarin will be a real advantage as our practice has a large Mandarin speaking patient base
- Prior experience working in a dental practice reception or similar healthcare reception environment will be beneficial, but training will be provided
- Excellent customer service skills with the ability to remain calm and professional in busy situations
- Proficiency with computers and dental practice management software (or willingness to learn)
- Excellent verbal and written communication skills
- Attention to detail and accuracy when handling patient information and records
- Professional telephone manner and friendly, approachable demeanour
- Ability to work effectively as part of a team and support colleagues
- Basic understanding of dental terminology and procedures is beneficial
- Strong organisational and time-manager abilities
