Job summary

Tātaki Auckland Unlimited in Auckland, North Island, is seeking a permanent Contracts Administrator within TAU's Property Unit to manage a diverse portfolio of property-related contracts.

You will provide administrative, financial and quality-assurance support across the contract lifecycle, focusing on service contracts, leases and capital construction, while ensuring compliance and strong supplier performance.

Qualifications

  • Tertiary qualification in business administration or equivalent experience.
  • Minimum five years' experience in contract administration, tendering and procurement.
  • Experience in financial administration, asset or facilities management preferred.
  • Strong administrative and record-keeping skills; proficient with contractors and stakeholders.

Responsibilities

  • Maintain accurate contract and lease documentation; track key dates.
  • Monitor KPIs, assist with contract audits and reporting.
  • Process invoices, payments, and manage claims and retentions.
  • Support budget tracking and forward planning with financial reports.

This full-time, permanent opportunity will see you play an important role in supporting the Contracts Manager and wider Property Unit to deliver high-quality contract management across a diverse portfolio of property-related operational and capital contracts. You'll provide essential administrative, financial and quality assurance support throughout the contract lifecycle, with a particular focus on service contracts, property leases and capital construction contracts. Your work will help ensure our facilities remain compliant, safe and fit for purpose while supporting effective procurement, financial management and contractor performance.

In this role, you will:

  • Maintain accurate and complete contract and lease documentation, track key dates and obligations, investigate information gaps, and ensure records comply with TAU systems, policies and procurement requirements.
  • Support supplier and contractor performance by monitoring KPIs, assisting with contract audits, preparing reports and meeting documentation, and escalating risks or instances of non-compliance.
  • Deliver timely financial administration, including raising purchase orders, processing invoices and payments, managing claims and retentions, and supporting month-end and year-end processes.
  • Assist with contract budget tracking and forward planning by preparing financial reports, identifying variances and risks, and supporting operational and capital budget holders.
  • Help continuously improve contract administration systems, tools and processes while building positive relationships with internal stakeholders, contractors and suppliers.

We're looking for someone who has worked in a similar role before and understands the practical requirements of tendering, procurement and contract administration. You'll bring strong analytical and problem-solving skills, excellent attention to detail and a proactive, adaptable approach. Comfortable managing competing priorities, you'll be able to work independently, meet deadlines and maintain a high standard of service, even when working under pressure. Your clear communication and relationship-building skills will enable you to work confidently with contractors, suppliers and stakeholders at all levels.

To be successful in this role, you will have:

  • A tertiary qualification in business administration or equivalent knowledge gained through relevant professional experience, along with a current New Zealand driver licence.
  • At least five years' relevant experience, including proven hands-on experience in contract administration, tendering and procurement. Experience in financial administration, asset management or facilities management is strongly preferred.
  • Strong administrative and record-keeping skills, with experience maintaining accurate contract documentation and liaising confidently with contractors and stakeholders.
  • Proficiency in Microsoft Office, with working knowledge of SAP and/or Momentus preferred. An understanding of local government financial and procurement practices would also be an advantage.
