Job summary

Avincis is looking for a Project & Business Coordinator to join our Nordic organisation, collaborating with teams across Sweden, Norway, Finland and Denmark.

You will coordinate strategic projects, Management of Change, and support business cases, contracts and KPI reporting to drive action across the Nordics.

Qualifications

  • Fluent in English; knowledge of a Nordic language helpful.

Responsibilities

  • Coordinate cross-functional projects across the Nordics and strategic initiatives.
  • Develop and maintain project plans, milestones, budgets, risk registers, and progress reporting.
  • Coordinate Management of Change (MOC) processes and ensure documentation and follow-up.
  • Prepare business cases, investment proposals and cost-saving initiatives.
  • Facilitate project meetings, workshops and steering group meetings and follow-up actions.
  • Support contract administration and commercial processes.
  • Prepare management reports, presentations and decision-making material.
  • Analyze operational and financial performance and support KPI and dashboard reporting.
  • Identify opportunities to improve, simplify and standardise processes across the Nordics.
  • Support strategic planning, organisational development and change initiatives.
  • Act as a connecting point between management, operational teams and support functions across countries.

Job description

Avincis is looking for a Project & Business Coordinator to join our Nordic organisation. This is a broad and highly collaborative role where you will work closely with our Nordic management team and colleagues across Sweden, Norway, Finland and Denmark.

You will be at the centre of projects, business improvement initiatives and management activities that span functions and countries. From coordinating strategic projects and Management of Change processes to supporting business cases, contracts and performance reporting, you will help ensure that priorities move forward and that decisions are translated into action.

For the right person, this is an excellent opportunity to gain broad exposure to a complex, international aviation business and work closely with senior management.

Location: Stockholm, Tromsø or Esbjerg

The role

As our Project & Business Coordinator, you will support and coordinate strategic initiatives and cross-functional projects across the Nordic organisation.

You will bring structure, follow-up and momentum to projects and business activities, while also supporting the Nordic management team with analysis, reporting, contracts and decision-making material.

Your responsibilities will include:

  • Coordinating cross-functional projects and strategic initiatives across the Nordics
  • Developing and maintaining project plans, milestones, budgets, risk registers and progress reporting
  • Coordinating Management of Change (MOC) processes and ensuring appropriate documentation and follow-up
  • Supporting the preparation of business cases, investment proposals and cost-saving initiatives
  • Facilitating project meetings, workshops and steering group meetings and following up agreed actions
  • Supporting contract administration, negotiations, renewals and amendments
  • Supporting commercial activities and tender processes
  • Preparing management reports, presentations and decision-making material
  • Analysing operational and financial performance and supporting KPI and dashboard reporting
  • Identifying opportunities to improve, simplify and standardise processes across the Nordic organisation
  • Supporting strategic planning, organisational development and change initiatives
  • Acting as a connecting point between management, operational teams and support functions across countries
Who are we looking for?

We believe you are a structured and proactive person who enjoys working in an environment where priorities can change and where collaboration is essential.

You are comfortable coordinating several activities at the same time and know how to create clarity and progress without losing sight of the bigger picture. You enjoy working with people across different functions and levels of an organisation and are confident interacting with senior stakeholders.

You probably have experience from project coordination, project management, business support, business development or a similar role.

We would also like you to have:

  • Strong organisational and project management or coordination skills
  • An understanding of financial analysis and business cases
  • Good analytical and problem-solving capabilities
  • Experience or understanding of contract administration and commercial processes
  • An understanding of risk management and governance
  • Strong communication skills in English and at least one Nordic language
  • Experience supporting management teams and senior stakeholders
  • Experience from aviation or another regulated industry, tender or procurement processes, Management of Change and/or SAP is an advantage, but not a requirement.
