Job summary

Maastricht University seeks a meticulous Secretary to the Board of Examiners to support several programmes based in Heerlen and Venlo. You will prepare policy and meeting materials, draft decisions and ensure procedures run transparently and consistently.

The role emphasises careful documentation, confidentiality and collaboration with the Chair and Board members in a professional environment.

Qualifications

• Strong organisational skills with ability to handle multiple processes, deadlines and documents with care.
• Excellent written communication skills in English (and Dutch) for formal decision-making.
• Understanding of rules, confidentiality and consistency in an academic setting.
• Strong interpersonal skills to engage with a wide range of stakeholders.

Responsibilities

• Support preparation, organisation and follow-up of meetings, decisions and procedures.
• Prepare meeting documents, decision notes, minutes and other materials for the Board.
• Implement approved changes to procedures, guidelines or working methods.
• Monitor compliance with established procedures and agreements.
• Provide accurate information about the Board to internal and external stakeholders.
• Act as a reliable contact for questions related to the Board’s work.
• Ensure careful documentation, archiving and follow-up of decisions and actions.
