Ace & Tate is hiring a Payroll Specialist at our Amsterdam HQ for 32-40 hours per week, starting January 2027. You will own payroll across assigned markets, coordinate with HR, Finance and external providers, and ensure accurate, timely payroll processing while maintaining compliance.

Qualifications

Responsibilities

• Own payroll for assigned markets, managing end-to-end monthly payroll inputs and outputs.
• Analyse payroll variations and investigate differences for accurate, timely payroll processing.
• Complete payroll closing activities including reconciliations, pension registrations, and related checks.
• Ensure statutory compliance across assigned markets with local regulations and CLAs.
• Act as a key contact for store managers, employees, payroll providers and tax authorities.
• Drive process improvements by streamlining workflows and enhancing payroll systems.

We are looking for a Payroll Specialist at our Amsterdam HQ, 32-40 hours, who can start in January 2027.

What our Payroll Specialists do

• Own payroll for assigned markets manage the end-to-end monthly payroll process, from collecting inputs such as store working hours and HR mutations to preparing vendor inputs and thoroughly checking payroll outputs
• Analyse payroll variations and investigate differences to ensure payroll is accurate, complete, and processed on time
• Complete payroll closing activities including reconciliations, journal creation, pension registrations, and related checks,
• Ensure statutory compliance by understanding and applying local payroll legislation, Collective Labour Agreements, and other relevant regulations across your assigned markets
• Act as a key point of contact for store managers, employees, external payroll providers, and tax authorities regarding payroll-related questions
• Support payroll administration including pensions, correspondence from tax authorities, and other employee-related statutory requirements
• Drive continuous improvements by identifying opportunities to streamline manual workflows, optimise systems, and improve the scalability of our payroll processes
• Contribute to strategic projects that support the growth and development of the payroll function
• Support the Finance team during annual audits by providing relevant payroll documentation and explanations
• Collaborate across HR, Finance, and Operations to improve processes, solve issues, and ensure a smooth payroll experience for our employees

You have

• 3-5 years of hands-on payroll experience, preferably in an international or multi-country European environment
• A relevant educational background in HR, Finance, Payroll, or a PDL (Praktijkdiploma Loonadministratie) qualification is a plus
• Strong technical curiosity you want to understand the payroll logic and statutory rules behind the numbers rather than simply following a checklist
• Excellent attention to detail and the ability to maintain high-quality standards while working under deadline pressure
• A solution-oriented mindset and the confidence to work independently on both routine and non-routine payroll questions
• A proactive approach to problem solving you research available resources and come to the table with potential solutions
• Strong stakeholder management skills and the ability to collaborate effectively with HR, Finance, store operations, external providers, and other stakeholders
• Adaptability and resilience in a fast-changing environment, including evolving systems, processes, and responsibilities
• Strong Excel / Google Sheets skills and experience working with HRIS and payroll systems
• The ability to work from or commute to our Amsterdam HQ

• The salary range for this role is €50,000 - €60,000 gross per year based on full-time, including 8% holiday allowance. The salary within this range depends on experience.
