Qualifications

  • Experience with invoicing and trade documentation is preferred.

Responsibilities

  • Prepare, review, and process trade documents in line with contracts and LC requirements.
  • Coordinate document flows and distribute complete documentation sets to clients, banks and stakeholders.
  • Issue sales invoices and maintain financial records with accuracy.
  • Maintain and archive agreements and documentation for traceability and compliance.
  • Support operational workflows and resolve administrative issues proactively.

Job description

We are looking for a highly detail-oriented and structured professional to join our Trade Execution team as a Operations Administration Officer. In this role, you will play a crucial part in ensuring the smooth and accurate execution of trade documentation and administrative processes within an international and fast-paced environment.

You will work closely with the operations team and other internal stakeholders, acting as a central point of coordination for document handling and invoicing.

More on the role: You will support the Trade Execution department consisting of approximately 40 colleagues. The team values collaboration, helpfulness, and strong interdepartmental communication. The work is structured and can be repetitive, requiring focus and consistency, but offers great exposure to the full end-to-end trade execution process and opportunities for development.

Key Responsibilities
  • Prepare and manage trade documentation - Draft, review, and process documents in line with contracts and Letters of Credit, ensuring full accuracy and compliance.
  • Coordinate document flows - Compile and distribute complete documentation sets (e.g., Bills of Lading, certificates, invoices) to clients, banks, and stakeholders.
  • Execute invoicing and financial administration - Issue sales invoices and ensure correctness and completeness.
  • Maintain administrative records - Manage and archive agreements and documentation, ensuring traceability and compliance.
  • Support operational processes - Act as a key administrative contact, supporting workflows and resolving issues proactively.

Education & Experience

  • MBO4 level (or equivalent), preferably in Logistics, Commercial Economics (MER) or Office Support.
  • 1–3 years of relevant experience in administration, logistics, or operations.
  • Experience in an international or trade environment is a plus.
