Job summary

Bacardi is seeking an experienced Executive Assistant to support two regional executives in the Netherlands. You will manage calendars, coordinate meetings, handle travel logistics, and act as a liaison across internal and external stakeholders.

The role demands discretion, strong communication in English (Dutch preferred), and proficiency in MS Office. You will be central to keeping leadership aligned and operations smooth.

YOUR OPPORTUNITY

In this role, you will partner closely with the 2 Regional Executives. You will be managing high-impact communications, coordinate with internal, external, and global stakeholders, and ensure priorities move forward efficiently. This is a high-visibility role for someone who thrives in a fast-paced environment and brings discretion, agility, and strong execution skills.

What You’ll Be Doing

  • Manage calendar and scheduling requirements for 2 regional executives, ensuring optimal time allocation for meetings, reviews, and strategic engagements.
  • Coordinate internal and external meetings, including agenda preparation, pre-reads, and follow-ups.
  • Serve as the primary point of contact for the European leadership team, ensuring timely, professional, and effective communication.
  • Maintain confidentiality and handle sensitive information with discretion
  • Support planning and logistics for leadership meetings.
  • Plan and coordinate end-to-end travel itineraries for 2 regional executives, including flights, visas, accommodation, and ground transportation whilst ensuring compliance with company travel policies and budget guidelines.
  • Draft (voice-dictated) professional emails, communication notes, presentations, and reports as required.
  • Act as a key liaison between the leadership team and internal teams, external partners, and global stakeholders, ensuring seamless coordination and communication.
  • Track action items from meetings and ensure timely closure.
  • Manage expense reports, reimbursements, and purchase orders in line with company processes.
  • Coordinate end-to-end logistics for leadership team events, guest visits, and interactions with global visitors, ensuring seamless planning, communication, and on-ground support.
  • Oversee expense reporting through Concur with accuracy and efficiency.
  • Strong problem-solving capability and attention to detail.

What are the stages of an interview process?

The first step is submitting your application which will be reviewed by our Hiring Team. Should your experience meet the qualifications and expectations of the open role, you will begin the interview process. Generally speaking, you can expect a few stages of conversations. The timing of the interview process will vary and our focus will be on ensuring that the key stakeholders get to know you and that you get to know us. You will be expected to do a face‑to‑face interview in person or over video call in some cases, at least once, during the hiring process. Sometimes we do ask candidates for customer facing roles or more junior candidates to complete an automated online video interview.
