Rosewood Hotel Group in Amsterdam is seeking an Engineering Administrator to join our Engineering team. You will provide essential administrative and coordination support to ensure efficient operation of all technical and maintenance activities throughout the hotel.

Working with the Director of Engineering, you will assist maintenance planning, vendor coordination, compliance documentation, inventory management, and reporting, contributing to luxury hospitality excellence.

Qualifications

• Experience in administrative or coordinator roles within Engineering, Facilities Management, Hospitality, or related fields.
• Strong organizational and administrative skills with attention to detail.
• Proficiency with Microsoft Office (Excel, Word, Outlook).
• Experience using maintenance management systems (CMMS) is advantageous.
• Ability to communicate effectively across departments and handle confidential information.
• Proactive mindset with ability to prioritize multiple tasks in a dynamic environment.
• Fluency in English; additional languages are a plus.

Responsabilités

• Manage and monitor work orders through the CMMS.
• Coordinate preventive maintenance schedules with engineering technicians and external contractors.
• Maintain records of maintenance activities, inspections, certifications, and technical documentation.
• Provide administrative support to the Director of Engineering and the wider Engineering team.
• Track purchase orders, invoices, and departmental expenses in collaboration with Finance and Procurement.
• Maintain records of service contracts, warranties, and supplier agreements.
• Coordinate vendor visits, service appointments, and technical inspections.
• Prepare reports relating to maintenance performance, operational issues, and engineering projects.
• Monitor inventory levels of engineering supplies, spare parts, and equipment.
• Support renovation projects, capital expenditure initiatives, and other engineering-related works.
• Maintain compliance documentation for statutory inspections (fire safety systems, elevators, HVAC, etc.).
