Commercial Operations Specialist – Europe

Reporting to: Regional Commercial Manager, Europe
About the Role
We are looking for a Key Account Commercial Operations Specialist to manage the end-to-end order fulfilment process for key accounts across Europe. You will act as the central point of contact between customers, our European business teams, headquarters, factories, freight forwarders and finance teams—from contract confirmation and production planning through shipment, delivery, reconciliation and payment collection.
Key Responsibilities
- Manage key account orders and contracts, including commercial terms, delivery schedules, payment terms and Incoterms.
- Coordinate with factories and supply chain teams in China to monitor production and ensure goods are ready on time.
- Work with freight forwarders on booking, container loading, export customs clearance and shipment arrangements under FCA, FOB, DAP and DDP terms.
- Track shipments from the factory through final delivery and keep customers informed of production, shipping and documentation updates.
- Prepare and review shipping documents, including commercial invoices, packing lists, bills of lading and customs documentation.
- Coordinate with customers and internal teams to resolve delays, customs issues, delivery discrepancies and other logistics exceptions.
- Support invoicing, account reconciliation and payment collection in line with agreed delivery and payment milestones.
- Maintain clear order, delivery and payment records and provide regular status updates to relevant stakeholders.
- Collaborate closely with the European sales team and headquarters to ensure smooth handovers and effective end-to-end order execution.
Requirements
- Bachelor’s degree or equivalent in International Trade, Logistics, Supply Chain, Business Administration or a related field.
- At least 3 years of experience in commercial operations, order management, international trade or freight forwarding.
- Hands-on experience with container shipments, freight booking, export customs clearance and shipping documentation.
- Good understanding of Incoterms and international shipping processes, particularly FCA and FOB.
- Experience working with key accounts, payment terms, account reconciliation and receivables follow-up.
- Strong coordination skills and the ability to manage multiple orders and deadlines across different stakeholders.
- Proficiency in English, both written and spoken; additional European languages are an advantage.
- Strong attention to detail, ownership and customer service mindset.
- Experience in batteries, energy storage, renewable energy or dangerous goods transportation, including UN3480/UN3481, is a plus.
