Job summary

European Space Agency (ESA) seeks an Application Life-Cycle Coordinator to ensure smooth operation of applications and to coordinate end-to-end processes across ESA establishments. You will collaborate with suppliers and ESA stakeholders, manage incidents, and ensure alignment with business processes.

The role requires SAP procurement expertise, IT consultancy experience, ITIL4/ITSM knowledge, and fluency in English, with opportunities to contribute to space and cyber initiatives.

Qualifications

  • Master's degree in a relevant discipline.
  • Experience with SAP procurement modules (SRM, ECC, S/4).
  • Proven experience in IT consultancy.
  • Experience working in international environments.
  • Solid understanding of ITIL 4 and ITSM tools.
  • Experience with Microsoft 365.
  • Fluent in English, both written and spoken.

Responsibilities

  • Ensure applications operate properly and handle exceptions/escalations.
  • Grant usability of applications to end-users.
  • Ensure adherence to business processes by applications.
  • Coordinate service providers for functional support and evolution.
  • Oversee ticket management processes and stakeholder queries.
  • Act as operational authority for applications across ESA units.
  • Lead end-to-end implementation of new processes/requirements.
  • Collaborate with internal/external stakeholders including Member States and partners.

On behalf of ESA we are looking for an Application Life-Cycle Coordinator to work in Frascati, Italy. You will provide key support, ensuring effective collaboration with primary stakeholders across ESA establishments.

About the client and location

The ESA Centre for Earth Observation (ESRIN) is the European Space Agency’s (ESA) base in Frascati, Italy. From this location ESA conducts most of their earth observation research, including data analysis and distribution for other non-ESA satellites.

This position is open to protected categories under Italian Law 68/99 (“Rules for the right to work of disabled people”).

Tasks and activities

The scope of work will include ensuring that the applications in charge operate properly, including:

  • Handling application-related exceptions and escalations.
  • Granting the usability of the applications to end-users.
  • Guaranteeing the adherence of the applications with business processes.
  • Relying on the application services supplied by the providers including functional support, corrective maintenance, minor evolution and in some cases major evolution.
  • Overseeing ticket management processes.
  • Acting as the agency’s operational authority for applications, covering both functional and business aspects.
  • Serving as the point of contact for suppliers regarding queries and issues requiring Application Coordinator follow‑up.
  • Reviewing deliverables and documentation.
  • Coordinating the end‑to‑end preparation, execution, and follow‑up of organisational processes contributing to the delivery of the agency’s activities.
  • Providing guidance on processes, procedures, and tools to ensure consistent understanding and application across organisational units.
  • Leading and managing the end‑to‑end process of implementation of new business process/requirements.
  • Serving as a key operational interface with internal and external stakeholders, including Member State delegations, institutional partners, industry, and other ESA directorates.
  • Providing demand management towards ESA Customer Representatives, Process Leaders, SPOCs and end-users.
  • Facilitating stakeholder alignment by ensuring clear, structured, and timely exchanges of information, data, and documentation.
  • Coordinating with the service provider on impact assessment, negotiation, development, testing, and deployment of new or evolving business requirements.
  • Monitoring the adoption of newly implemented solutions within applications through regular reviews.
  • Supporting projects based on their complexity and criticality.
  • Contributing to Year‑End Closure to include, reorganisation and rebooking.
  • Providing support for ad‑hoc activities related to IT infrastructure maintenance and requests from CISOS providers.
  • Reviewing service provider proposals to ensure alignment and maximise the agency’s interests.
  • Managing and supervising application‑related exceptions and escalations raised by users, including participation in ESA departmental and divisional meetings.
  • Experience with SAP procurement modules included at least SRM and ECC Modules and S/4 procurement.
Skills and experience

The following skills and experience are mandatory:

  • A Master’s degree in a relevant discipline.
  • Experience with SAP procurement modules, including SRM, ECC, and S/4.
  • Proven experience in IT consultancy.
  • Experience working in international environments.
  • Solid understanding of service models aligned with ITIL 4 and ITSM tools.
  • Experience with Microsoft 365.
  • Fluent in English, both written and spoken.

The following skills and experience would be highly desirable:

  • Experience with AIOps scenarios
  • Knowledge of ESA-STAR.
  • Experience with end‑to‑end observability tools.
  • A good working knowledge of other EU languages.
