Job summary

I-Xeon Technologies Sdn. Bhd. is seeking a motivated IT project coordinator/manager to assist in planning, scheduling, and coordinating activities across internal teams and external vendors in Malaysia.

The role focuses on delivering milestones on time while maintaining quality and budget considerations. The ideal candidate will have a Diploma or Bachelor’s degree in IT/CS/PM, at least 3 years of experience, and familiarity with Microsoft Project, Excel, and JIRA.

Qualifications

• Diploma or bachelor’s degree in Information Technology, Computer Science, Project Management, or related disciplines.
• Minimum 3 years’ experience in IT project coordination or project management.
• Experience managing vendors and cross-functional teams is preferred.
• Experience in software implementation projects is an advantage.
• Project planning and coordination.
• Microsoft Project / Excel
• JIRA (preferred).
• Mandarin language proficiency is an added advantage for business communication.

Responsibilities

• Assist in project planning, scheduling, and resource allocation.
• Coordinate project activities among internal teams and external vendors.
• Monitor project progress and ensure milestones are achieved within agreed timelines.
• Prepare and maintain project schedules, action plans, and work breakdown structures.
• Support project budgeting and resource planning.
• Lead project execution activities according to approved project plans.
• Assign and coordinate technical tasks among team members.
• Ensure project deliverables meet quality standards and customer expectations.
• Conduct project status meetings and provide regular progress updates to management.
• Monitor project risks and recommend mitigation plans.
• Coordinate with vendors throughout project implementation.
• Facilitate communication between customers, vendors, and internal teams.
• Resolve project issues and escalated major risks when necessary.
• Maintain positive working relationships with all project stakeholders.
• Monitor project quality throughout implementation.
• Review project deliverables before customer acceptance.
• Ensure proper testing and validation are completed before deployment.
• Ensure compliance with company standards and project methodologies.
• Prepare and maintain project documentation including: Project plans, Meeting minutes, Progress reports, Change requests, User Acceptance Test (UAT) documentation, Project closure reports.
• Support acceptance and deployment activities.
• Assist in resolving post-implementation issues.
• Perform other duties assigned by Management.
