Job summary

Dai Lieng Machinery Sdn Bhd in Malaysia is seeking a service coordinator to manage customer appointments, raise preliminary repair orders in SQL/GDS, and record estimated times for short and long term work.

You will plan customer requested work, obtain approvals, liaise with parts and workshop teams, supervise subcontracted jobs, finalize repair orders, and keep customers updated on progress, delivery times, and invoices.

• Experience coordinating service repairs and customer communication.

Responsibilities

• To carry out all kinds of customer appointments raise preliminary repair order in SQL/GDS and record estimated time on planning sheet for shrot and long term work.
• To plan customer requested work and oversee/follow up on daily work production in the workshop accordingly to pre-established agreements with customers.
• To obtain customer approval and consent for the work to be performed and provide information on the estimated repair cost and delivery/pick up time.
• To submit the preliminary repair order to the parts team for preplanning and ordering of parts.
• to finalize the preliminary repair order using Volvo Service Time (VST) and conduct an initial diagnosis with the custoemr to prepare the repair order.
• To print and distribute the repair order with necessary check sheets attached to workshop.
• To facilitate communication between the mechanic/foreman and the customer, ensuring clear and timely updates throughout the service process.
• To supervise all subcontracted jobs and create requisition for sublet work.
• To ensure the delivery order (invoice) is complete, ready and can be presented and explained to the customer at the agreed collection time, also, manage the payment code accordingly.
• To have initiative to inform customers about any campaign, warranty, or goodwill action that need to be taken.
• To be responsible for parts pricing and discount within the dealer discount structure.
• To work closely with foreman on warranty and service agreement claim submission, accuracy and timely manner.
