Job summary

NTT DATA Services is seeking a Senior Associate Specialist, Accounts Payable to join our remote team in Malaysia. You will independently process invoices, support payment runs, and handle routine vendor inquiries while ensuring compliance with AP policies and controls.

You will collaborate with AP leadership and Specialists to maintain accurate AP records, support month-end close, and participate in process improvements and system enhancements.

Qualifications

• Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
• 2–4 years of experience in accounts payable or finance operations.
• Proficiency with ERP systems (e.g., SAP, Oracle) and Excel.

Responsibilities

• Process supplier invoices accurately and in a timely manner, ensuring proper coding, approvals, and documentation.
• Prepare and support payment runs in accordance with established schedules and controls.
• Perform vendor statement reconciliations and investigate routine discrepancies.
• Maintain accurate AP records, files, and supporting documentation.
• Respond to routine vendor inquiries regarding invoice status and payments.
• Coordinate with internal stakeholders to resolve invoice discrepancies and approval delays.
• Support accurate maintenance of vendor master data under established control procedures.
• Support AP close activities, including invoice cut-off, accrual support, and reconciliations.
• Prepare routine AP schedules and reports for close and management reporting.
• Assist in resolving variances and reconciling AP balances.
• Execute AP processes in compliance with internal controls, approval frameworks, and company policies.
• Identify processing errors or exceptions and elevate for review.

We are currently seeking a Senior Associate Specialist, Accounts Payable to join our team in Remote, Wilayah Persekutuan Kuala Lumpur (MY-14), Malaysia (MY).

Summary

The Senior Associate Specialist, Accounts Payable supports the execution of accounts payable activities with a high degree of accuracy and consistency. This role independently processes invoices and payments, resolves routine discrepancies, and supports month-end close and audit activities.

The Senior Associate Specialist works closely with Specialists and AP leadership to ensure smooth daily operations and compliance with established AP policies and controls.

KEY responsibilities

Accounts Payable Processing & Execution

• Process supplier invoices accurately and in a timely manner, ensuring proper coding, approvals, and documentation.
• Prepare and support payment runs in accordance with established schedules and controls.
• Perform vendor statement reconciliations and investigate routine discrepancies.
• Maintain accurate AP records, files, and supporting documentation.
• Respond to routine vendor inquiries regarding invoice status and payments.

Month-End Close & Reporting Support

• Support AP close activities, including invoice cut-off, accrual support, and reconciliations.
• Prepare routine AP schedules and reports for close and management reporting.
• Assist in resolving variances and reconciling AP balances.

Controls, Compliance & Audit Support

• Execute AP processes in compliance with internal controls, approval frameworks, and company policies.
• Support internal and external audits by preparing documentation and responding to routine requests.
• Identify processing errors or exceptions and elevate for review.

Process & Systems Support

• Follow documented AP procedures and SOPs.
• Participate in process improvement and system enhancement initiatives.
• Support testing and adoption of new AP tools or workflow changes.
• Assist in knowledge sharing with Associate Specialists as needed.

ACADEMIC QUALIFICATIONS & CERTIFICATIONS

• Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.

REQUIRED EXPERIENCE

• 2-4 years of experience in accounts payable or finance operations.
• Experience processing invoices, payments, and vendor reconciliations.
• Exposure to month-end close and audit support.
• Proficiency with ERP systems (e.g., SAP, Oracle) and Excel.
• Experience in shared services or multi-entity environments preferred.

PHYSICAL requirements

• Frequently move about inside and outside of data center / facility
• Remain stationary for long periods of time.
• Ascend / Descend a ladder and perform duties atop a raised platform.
• Position self in small spaces.
• Operate computer, peripherals, and other office equipment.
• Perform work during Malaysia business hours and time zones, however may occassionally require to connect with European Team later in the day .

Work conditions & other requirements

• Work onsite at a data center location
• Exposure to varying temperatures and loud noises.
• Exposure to outdoor weather conditions.
• Perform work from a remote location with stable internet connection. (hybrid model, 1 day per week in office).
