Carro Malaysia is seeking a Retail Admin Executive (Auction) to oversee vehicle inbound/outbound records, documentation and the auction pipeline, ensuring every vehicle is ready for the auction.
You will coordinate with banks, internal teams, auction partners and stakeholders on release, documentation, inspection and related matters, while planning schedules, listings and weekly updates. Bidder registration and KYC will be supported, with accurate reports and timely payments emphasized.

Manage and monitor vehicle inbound/outbound records, documentation, and auction pipeline to ensure all vehicles are ready for auction.
Coordinate with banks, internal teams, auction partners and relevant stakeholders on vehicle release, documentation, inspection, and auction-related matters.
Plan and coordinate auction schedules, vehicle listings, viewing arrangements, and weekly auction updates.
Manage bidder registration and KYC verification, assist bidders with registration, and resolve auction-related issues.
Prepare and submit auction reports, bank reports, listings, invoices and payment-related documents, ensuring all submissions are accurate and completed within SLA.
Follow up on payments, deposits, refunds, parking charges, auctioneer fees and other related invoices with Finance and relevant parties.
Coordinate vehicle inspections, including PUSPAKOM/VR1 inspections, photo auctions, and other required services when applicable.
Monitor auction outcomes, including default bidders and outstanding matters, and provide regular updates to relevant stakeholders.
Diploma/Degree in Business Administration, Automotive, Operations, or a related field.
1–2 years of relevant experience in auction operations, automotive, administration, banking/recovery, or a similar role.
Strong communication and coordination skills, with the ability to work with banks, bidders, internal teams, and external partners.
Good attention to detail and documentation skills, especially for reports, vehicle records, and auction-related documents.
Proficient in Microsoft Office (Excel, Word, Outlook) and comfortable handling data and reports.
Organised, proactive, and able to meet deadlines/SLA, with good follow-up skills.
Comfortable working in a fast-paced automotive/auction environment.
