Hello Health Group Malaysia is seeking an experienced HR Manager to own end-to-end HR for our Malaysia business and support regional HR operations across SEA markets. You will be the go-to HR partner for leaders and employees in Malaysia, handling payroll, compliance, employee relations, and HR systems.
The role is roughly 70% Malaysia and 30% regional, with scope growing over time, reporting to Chief People Officer and working across corporate, customer service and O2O teams.
We are seeking a hands-on HR Manager to own end-to-end HR for Hello Health Group’s Malaysia business, while acting as a key support to the Chief People Officer on regional HR operations across our Southeast and East Asian markets.
Malaysia is one of our most operationally diverse markets – spanning corporate and commercial teams, a shift-based Customer Service team, and growing O2O (online-to-offline) operations. You will be the go-to HR partner for leaders and employees in Malaysia, handling everything from payroll and statutory compliance to employee relations and disciplinary matters.
Alongside this, you will support regional HR operations – payroll governance, policy and contract standardisation, reporting, and HR systems – helping us build compliant, scalable people processes across all HHG markets. We expect this role to be roughly 70% Malaysia and 30% regional, with the regional scope growing over time.
Act as the lead HR partner for Malaysia, advising business leaders and line managers across corporate, Customer Service and O2O teams
Manage the full employee lifecycle in Malaysia – onboarding, probation and confirmation, transfers, promotions and exits
Handle employee relations end-to-end, including performance improvement plans, misconduct, grievances, show-cause letters and domestic inquiries, in line with the Employment Act 1955 and Industrial Relations Act 1967
Advise managers on attendance, leave (including medical and hospitalisation leave), probation extensions and proper case documentation
Manage representations and claims with the Department of Labour (JTKSM) and Industrial Relations Department, working with external counsel where required
Partner with Talent Acquisition on Malaysia hiring, and drive onboarding, engagement and retention initiatives for the local team
Own HR for the Malaysia Customer Service team, including shift and rostering policies, shift allowances, overtime, rest day and public holiday pay
Ensure working hours, overtime and public holiday practices comply with the Employment Act, and that any changes to employment terms are properly consulted on, documented and implemented
Partner with Customer Service leaders on attendance management, workforce planning and frontline hiring
Track team-level people metrics (attrition, absenteeism, overtime cost) and drive practical retention and engagement actions
Own the monthly Malaysia payroll cycle with our payroll provider – inputs, variance checks, overtime and shift pay, new joiner and final pay calculations
Ensure accurate and timely statutory contributions and filings, including:
EPF, SOCSO and EIS
PCB/MTD and LHDN employer obligations (incl. Form E / EA)
HRD Corp levy and claims
Set up and maintain employer statutory registrations for Malaysian entities, including new business units or entities as HHG grows
Maintain Malaysia employment contract templates, the employee handbook and HR policies, keeping them current with legislative changes
Support audits, labour inspections and reconciliations for Malaysia
Support the CPO on regional HR projects, including policy harmonisation, contract standardisation and handbook updates across markets
Support regional payroll governance with local HR teams and third-party vendors, and consolidate monthly headcount, staff cost and payroll variance reporting
Provide operational guidance to local HR teams in other markets on contracts, compliance and sensitive employee cases
Help implement and optimise HR systems (HRIS, ATS) and processes, ensuring clean, accurate and audit-ready employee data
Support the regional performance management cycle (OKR setting, quarterly reviews and calibration), onboarding and company-wide engagement initiatives such as Town Halls
Support people integration for new entities and business units across the region, including employee transfers and statutory set-up
Track regulatory changes across markets and ensure timely communication and implementation
Coach and support HR team members across markets, helping build local HR capability
Bachelor's degree in Human Resources, Business Administration, Law or a related field
6+ years of HR experience, including at least 3 years in a Malaysia HR generalist or HR operations role
Strong working knowledge of the Employment Act 1955 (including recent amendments), Industrial Relations Act 1967, and EPF, SOCSO, EIS, PCB and HRD Corp requirements
Hands-on experience managing employee relations cases – PIPs, disciplinary action, domestic inquiries, terminations and Labour/IR Department matters
Experience running payroll for, or supporting, a shift-based workforce (e.g. customer service, contact centre, healthcare or operations) is highly desirable
Exposure to regional or multi-country HR is a strong advantage
Previous experience in a startup or high-growth environment is highly desirable
Strong Excel skills and experience with HRIS and payroll systems
Fluent in English (written and spoken); proficiency in Bahasa Malaysia is a strong advantage
Based in Kuala Lumpur, with occasional regional travel
Nurturing – genuinely enjoys coaching and developing HR team members, and shares knowledge generously
No-hierarchy mindset – rolls up their sleeves and is happy to do the hands-on work alongside the team
Team-first – we work as one HR team across markets, solving problems and sharing the load together
