Jora Malaysia is seeking a Receptionist cum Admin to oversee front desk operations and provide essential administrative support for a smooth office workflow. You will welcome visitors, handle calls, manage mail and couriers, and assist with data entry and document preparation.
The role requires a Diploma in Business Administration and 3–5 years of receptionist or related experience, with strong English and Bahasa Malaysia communication skills and a professional, customer-focused demeanor.

Key Responsibilities
1. Front Desk & Visitor Management
Welcome and assist visitors, clients, interview candidates, vendors, and service providers in a professional and friendly manner.
Manage visitor registration, access control, visitor passes and ensure the reception area remains organised and presentable.
Handle incoming calls, take accurate messages, and direct enquiries to the appropriate employee or department.
Manage incoming and outgoing mail, parcels, courier arrangements, and notify recipients promptly.
3. Administrative Support
Provide general administrative support, including filing, scanning, printing, photocopying, data entry, and document preparation.
Maintain accurate records, contact lists, trackers, and administrative documents with proper confidentiality.
4. Meeting Room & Visitor Hospitality
Coordinate meeting room bookings and ensure rooms, equipment, materials, and refreshments are prepared before use.
Support visitor arrangements, welcome signage, parking coordination, and room setup and reset.
5. Office Supplies & Workplace Upkeep
Monitor and replenish pantry supplies, stationery, reception materials, and meeting room consumables.
Coordinate with cleaners, vendors, contractors, and service providers to maintain a clean and well-functioning workplace.
6. Travel Coordination
Process approved domestic & international travel arrangements, including flights, accommodation, transportation, and travel insurance.
Maintain complete travel records and ensure bookings are accurate, timely, and cost-effective.
7. Safety, Security & Operational Support
Support workplace safety, visitor security, access control, and company confidentiality requirements.
Report and raise safety hazards, security concerns, facility issues, visitor incidents, or other non-routine matters promptly.
Requirements
Minimum Diploma in Business Administration, Office Management, or any other related field.
At least 3–5 years of experience in receptionist, front desk, customer service, call centre, or administrative support roles.
Good communication skills in English and Bahasa Malaysia, with a pleasant, presentable, professional, and customer-focused attitude.
Proficient in Microsoft Office (Outlook, Word, and Excel) with good organizational and multitasking skills.
Responsible, detail-oriented, and able to handle confidential information with professionalism and discretion.
