The Project Planning Coordinator is responsible for coordinating project material tracking, procurement follow-up, document submissions, and Operation & Maintenance Manual (OMM) support to ensure timely and accurate project information is available for the Planning Department. The role serves as the central coordinator for project information, supporting efficient planning, reporting, document management, and project handover activities.
The position does not perform project scheduling but provides accurate and timely project information required for effective planning and project control.
Key Responsibilities
1. Material Planning & Tracking
- Maintain and update the Project Material Tracker for all assigned projects.
- Monitor material requirements based on project schedules and construction priorities.
- Material Request (MR)
- Purchase Order (PO)
- Manufacturing status
- Liaise regularly with the Procurement Department to obtain the latest procurement and delivery updates.
- Highlight potential material shortages or delivery delays that may impact project progress.
- Prepare weekly material status reports for the Planning Department.
2. Document Control & Submission Coordination
- Manage and maintain the document submission register for all project submissions.
- Coordinate submission of project documents including but not limited to:
- Shop Drawings
- Method Statements
- Work Method Statements (WMS)
- HIRARC
- Technical Data Sheets
- Other client-required documents
- Record submission dates, approval status, comments, revisions, and resubmissions.
- Follow up with project teams and clients on outstanding approvals.
- Ensure document records are complete, organized, and easily traceable.
3. Planning Support
- Provide updated material and document status to the Planning Manager and Senior Planner.
- Ensure planning information is accurate and up to date for schedule updates and progress analysis.
- Assist in identifying procurement or document approval issues that may affect project milestones.
- Support planning meetings by preparing updated trackers and status reports.
4. Project Coordination
- Coordinate with:
- Procurement Department
- Project Managers
- Consultants
- Clients (where applicable)
- Monitor outstanding actions related to materials and document approvals.
- Escalate critical issues to the Planning Manager when delays may affect the project schedule.
5. Reporting & Records Management
- Maintain accurate project records and filing systems.
- Prepare weekly and monthly reports on:
- Material procurement status
- Document submission status
- Pending procurement actions
- Ensure all trackers are updated in a timely manner.
6. Operation & Maintenance Manual (OMM) Support
- Support the preparation, compilation, and coordination of the Operation & Maintenance Manual (OMM) for projects requiring OMM submission.
- Coordinate with Project Managers, Site Engineers, Procurement, Suppliers, and Subcontractors to collect the required OMM documents, including:
- Approved shop drawings and as-built drawings
- Product catalogues and technical data sheets
- Manufacturer operation and maintenance manuals
- Test reports and commissioning records
- Warranties and certificates
- Asset lists and equipment schedules
- Ensure all OMM documents are complete, accurate, and comply with client or contractual requirements.
- Maintain the OMM document register and monitor the status of outstanding documents.
- Coordinate revisions and updates based on client comments until final approval is obtained.
- Ensure the final OMM package is submitted within the project timeline.
- Maintain proper electronic filing and document version control for all OMM records.
Qualifications
- Diploma or Bachelor's Degree in Engineering, Construction Management, Project Management, Business Administration, or related discipline.
- Fresh graduates are encouraged to apply.
- Candidates with experience in construction, M&E, data centre, or project coordination are preferred.
- Strong organizational and coordination skills.
- Excellent attention to detail and accuracy.
- Good communication and interpersonal skills.
- Able to coordinate effectively with multiple departments.
- Proficient in Microsoft Excel, Microsoft Word, and Microsoft Outlook.
- Knowledge of project documentation and procurement processes is an advantage.
- Ability to prioritize multiple tasks and meet deadlines.
- Problem-solving mindset with proactive follow-up skills.
