We are seeking a dedicated Product Development Documentation Executive to join Bakels (Malaysia) Sdn Bhd in Shah Alam, Selangor. This is a full-time position that plays a crucial role in ensuring compliance, quality assurance, and regulatory adherence within our New Product Development (NPD) and Quality Assurance (QA) division. As a key member of our team, you will be responsible for maintaining comprehensive documentation standards that support our baking ingredients supply operations and ensure all products meet stringent government and industry regulations. This position is integral to our commitment to delivering safe, high-quality products to our customers whilst maintaining full compliance with Malaysian and international regulatory requirements.
Key responsibilities
- Develop, maintain, and update technical documentation for new product formulations, including ingredient specifications, safety data sheets, and manufacturing procedures
- Prepare and organise quality assurance records, test reports, and compliance documentation in accordance with regulatory standards and internal protocols
- Coordinate with regulatory bodies and manage submissions for product approvals and certifications required by government and industry authorities
- Conduct documentation audits to ensure accuracy, completeness, and compliance with applicable policies, regulations, and quality management systems
- Liaise between NPD, QA, production, and regulatory teams to ensure all documentation requirements are met and properly communicated
- Maintain and manage document control systems, ensuring version control, archiving, and easy retrieval of critical files
- Prepare comprehensive reports on product testing, shelf-life studies, and stability data for internal stakeholders and regulatory submissions
- Support the development of Standard Operating Procedures (SOPs) for documentation and quality processes
- Ensure all documentation is compliant with food safety regulations, including FSMS (Food Safety Management System) requirements
- Assist in training team members on documentation requirements and compliance best practices
What we're looking for
- Diploma or Bachelor's degree in Food Science, Quality Assurance, Food Technology, Chemistry, or a related discipline
- A minimum of 2–3 years of experience in quality assurance, documentation, or regulatory compliance, preferably within the food or baking ingredients industry
- Strong knowledge of food safety regulations, including Malaysian Food Act, FSMS standards, and international compliance requirements
- Proficiency in technical writing and documentation management with excellent attention to detail
- Familiarity with document control systems and quality management software is highly advantageous
- Excellent organisational and time management skills with the ability to handle multiple documentation projects simultaneously
- Strong communication skills in English and Malay, both written and verbal
- Ability to work collaboratively with cross-functional teams and stakeholders at all levels
- Meticulous approach to record-keeping and data management with a commitment to accuracy
- Knowledge of ISO standards (such as ISO 22000 or ISO 9001) is preferred
- Experience with regulatory submissions and government liaison would be beneficial
