Job Purpose (Brief summary of the position i.e. why the position exists)

As Planning and Control Manager, you will own buy planning for the products ADA buys from brands, from forecast review through to purchase order and supplier delivery. You will also own billing for fulfilment services, covering invoices received from service providers and outgoing billing to brands, and the commercial reconciliation for brands where ADA holds stock. Your job is to make sure every buy is justified, every invoice is correct, and every brand account reconciles. You will work with stakeholders across Commercial, Finance, Operations and Tech to improve and automate these processes.

Accountabilities / Key Responsibilities

Buy Planning & Replenishment

• Review the demand forecast from the Commercial team for accuracy and bias - Weekly / Monthly
• Challenge forecasts and buy proposals using sales history, stock cover, lead times and campaign plans - Weekly / Monthly
• Finalise buy quantities and delivery dates, balancing stock availability against stock holding and working capital - Weekly
• Create and issue purchase orders to suppliers (confirm quantity & expected delivery date) - Daily / Weekly
• Follow up with suppliers on PO confirmation, delivery dates and short shipments - Daily
• Track and report supplier fill rate and on-time delivery; elevate repeated shortfalls - Weekly / Monthly
• Monitor stock health (stock cover, ageing, non-moving stock) and drive clearance actions with Commercial - Weekly / Monthly
• Plan stock for promotions and campaigns with Commercial and suppliers - As & when required

Fulfilment Services Billing (AP & AR)

• Receive and review invoices from fulfilment service providers against agreed rates, contracts and actual activity volumes - Monthly
• Resolve invoice discrepancies with service providers and submit verified invoices to Finance for payment - Monthly
• Prepare outgoing fulfilment services billing so the Commercial team can bill their brands - Monthly
• Keep rate cards and billing rules up to date as contracts change - As & when required
• Flag gaps between what ADA pays service providers and what ADA bills brands - Monthly

Brand Commercial Reconciliation

• Run the commercial reconciliation for brands where ADA buys and holds stock, covering sales, cost of goods, marketplace fees, trade spend and service fees, down to order level - Monthly
• Reconcile marketplace orders and payouts against the terms of each brand agreement - Monthly
• Apply agreed reconciliation rules consistently, and raise exceptions and disputes with Commercial - Monthly
• Produce the brand P&L and claim / settlement summary for Commercial to agree with the brand - Monthly
• Document the reconciliation rules for each brand so new brands can be added using the same method - As & when required

Process Improvement & Automation

• Map current planning, billing and reconciliation processes and identify manual steps, errors and delays - Ongoing
• Work with Commercial, Finance, Operations and Tech / Data teams to standardise and automate these processes - Ongoing
• Define and track KPIs for the function, including forecast accuracy, supplier fill rate, stock cover, invoice accuracy and reconciliation turnaround - Monthly
• Maintain SOPs for all processes owned by the role - Ongoing

Qualifications, Experience & Skills/Competencies

Qualifications

• Bachelor's degree in Supply Chain , Business Administration, Finance, Accounting or a related field.
• Minimum 6 years of experience, including at least 4 years in supply planning, demand planning, buying or procurement in an FMCG, retail or e-commerce environment.
• Hands-on experience creating purchase orders and managing suppliers.
• Experience in invoice verification, billing or account reconciliation (AP / AR or commercial finance).
• Exposure to e-commerce marketplaces ( e.g. Shopee, Lazada, TikTok Shop) and their settlement reports is a strong advantage.
• Familiar with warehouse and logistics operations and their cost structures.

• Advanced Excel (lookups, pivot tables, Power Query). The role works with large volumes of order and billing data.
• Experience with an ERP system ( e.g. Microsoft Dynamics 365) for purchasing and billing.
• SQL, Power BI or automation tools are an advantage.
