Personal Assistant / Executive Assistant (Senai / Iskandar Puteri)
We are currently seeking experienced Personal Assistants / Executive Assistants for our clients based in Johor (Senai / Iskandar Puteri).
The successful candidate will provide comprehensive executive and administrative support to senior management, including calendar and travel management, correspondence, stakeholder coordination, documentation, and day-to-day business and personal matters.
We are looking for someone who is highly organized, proactive, discreet and dependable, with the ability to anticipate needs, manage multiple priorities and work independently in a fast-paced environment.
Job Responsibilities
- Manage calendars, appointments, meetings and schedules for senior management.
- Coordinate domestic and international travel arrangements, including flights, accommodation, transportation and itineraries.
- Handle emails, calls, correspondence and confidential information professionally.
- Prepare meeting agendas, minutes, reports, presentations and briefing materials.
- Follow up on action items and ensure agreed tasks are completed within timelines.
- Liaise and coordinate with internal teams, clients, vendors and external stakeholders.
- Manage documentation, digital filing, expense claims, reimbursements and payments.
- Assist with business and personal appointments, bookings and other administrative arrangements when required.
- Conduct research and compile information to support management decision-making.
- Support special projects, events and other management initiatives.
- Anticipate management needs and proactively resolve administrative or scheduling matters.
- Perform other PA/EA-related duties as assigned.
Job Requirements
- Diploma or Degree in Business Administration, Management, Communications or a related discipline is preferred.
- 3–5 years of experience as a Personal Assistant, Executive Assistant, Executive Secretary or in a similar senior administrative role.
- Previous experience supporting a CEO, Managing Director, Director or senior management is highly advantageous.
- Good command of English and Bahasa Malaysia.
- Mandarin/Chinese proficiency, including spoken and written Chinese, is highly preferred.
- Proficient in Microsoft Office, particularly Excel, and/or Google Workspace.
- Strong organisational, communication and time-management skills.
- Excellent attention to detail with the ability to manage multiple priorities.
- High level of discretion and professionalism when handling confidential matters.
- Proactive, resourceful, reliable and able to work independently.
- Strong interpersonal skills and comfortable dealing with different levels of stakeholders.
- Willing to travel domestically and/or internationally when required.
- A valid Malaysian driving licence is an added advantage.
