Job summary

Ethixbase360 is seeking a capable HR Coordinator to support day‑to‑day operational HR tasks across our global locations. This role focuses on transactional HR, recruitment support, and L&D data analysis, reporting to the Director of People and Talent and the People & Talent Manager on special projects.

The ideal candidate will handle onboarding (BambooHR), visa admin, policy development, and cross‑border HR processes, while maintaining confidentiality and high-level service to managers and staff.

Qualifications

  • Bachelor’s degree in Human Resources, Business, or a related field is preferred.
  • 1–2 years of experience in HR coordination, HR administration, or a similar People & Talent role is preferred.
  • Experience supporting recruitment or talent acquisition processes.

  • Be the first point of contact for all People & Talent queries from managers and team members.
  • Manage admin tasks such as drafting letters for promotions, transfers, and internal changes.
  • Support and coordinate the full onboarding process, including BambooHR setup, liaising with hiring managers, Payroll, and IT.

Job Summary

The purpose of this role is to assist with the day‑to‑day efficient operation of the People and Talent function within all locations. Main responsibilities include: administrative support of transactional HR, Recruitment and L&D processes, conducting data analysis, research and writing reports as required, working collaboratively with the Director of People and Talent and the People and Talent Manager on special projects and being the first point of contact for all HR related queries.


What you’ll be doing:


  • Be the first point of contact for all People & Talent queries from managers and team members

  • Manage admin tasks such as drafting letters for promotions, transfers, and internal changes

  • Support and coordinate the full onboarding process, including BambooHR setup, liaising with hiring managers, Payroll, and IT

  • Lead the offboarding process including exit interviews, coordination with IT, and ensuring access closures

  • Collaborate with Payroll and People & Talent Officer to ensure smooth cross-border processes

  • Own probationary review tracking and documentation

  • Be a key support in in-house recruitment efforts, including:

    • Posting job ads and managing job boards

    • Coordinating interview scheduling

    • Communicating with candidates and hiring managers

    • Supporting offer letters and pre-employment processes



  • Assist with visa admin and reporting for benefit renewals

  • Support the development of people policies (e.g., appraisals, family leave, D,E&I, handbooks)

  • Coordinate internal recognition programs (e.g., Outstanding Performers & Loyalty Awards)

  • Manage employee surveys (bi-annual and pulse) and prepare People & Talent updates for Townhalls

  • Maintain accurate records in BambooHR and serve as the HRIS super user

  • Own the HR Drive and team pages on The Base (intranet)

  • Produce monthly HR and finance reports, and conduct internal HR audits

  • Ensure local compliance with Malaysian employment law, EPF, SOCSO, EIS, and other statutory requirements

  • Stay current on employment law, HR trends, and compliance updates


What we’re looking for:


  • Bachelor’s degree in Human Resources, Business, or a related field is preferred.

  • 1–2 years of experience in HR coordination, HR administration, or a similar People & Talent role is preferred.

  • Experience supporting recruitment or talent acquisition processes.

  • Familiarity with Malaysian employment legislation and statutory requirements.

  • Strong written and verbal communication skills, with the ability to communicate clearly and sensitively on people matters.

  • A genuine team player who enjoys collaborating with colleagues, managers, and cross‑functional teams.

  • Empathy and emotional intelligence, with the ability to understand different perspectives while maintaining professionalism and appropriate boundaries.

  • Experience working in, or a strong understanding of, diverse and multicultural environments, with respect for different backgrounds, perspectives, and ways of working.

  • A positive, solutions-oriented attitude, with a willingness to take initiative and find practical ways to resolve challenges.

  • The ability to balance compliance with empathy and sound judgment when advising managers on people-related matters.

  • Highly organized, with strong time management skills and the ability to manage multiple priorities and deadlines.

  • Meticulous attention to detail and a commitment to accuracy.

  • High level of confidentiality, integrity, discretion, and professionalism.

  • Tech‑savvy and comfortable working with HRIS platforms; experience with BambooHR is an advantage.

  • Proficiency in Microsoft Office and confidence in learning and using new systems.

  • Proactive, adaptable, and eager to learn and grow within a People & Talent career.


What else do you need to know

This role sits within the People and Talent team, reporting directly to the People and Talent Director, UK based. The role will work alongside Global People and Talent team in the UK and the US and work closely with the finance team based in Singapore, the US and the UK.


The position is remotely based within a commuter distance to the Malaysia office. We offer great benefit packages that includes competitive annual leaves and sick leaves that increases after 2years of employment.
