Job summary

Private Advertiser in Malaysia is seeking an organized and reliable Parts Admin to support automotive parts operations. You will maintain accurate records, follow up on orders, and coordinate with Service, Body & Paint, and Accounts teams.

Responsibilities include preparing orders and invoices, entering transactions into the DMS, monitoring backorders, and ensuring proper documentation. Fresh graduates with good computer skills are welcome to apply.

Qualifications

• Minimum SPM or equivalent.
• Experience in administration, inventory or automotive spare parts is an advantage.
• Fresh graduates with good computer skills and a willingness to learn are welcome to apply.
• Able to use Microsoft Excel, Word and email. DMS experience is an added advantage.
• Accurate in data entry, organised and attentive to detail.
• Able to communicate in Bahasa Malaysia and English.
• Responsible, able to meet deadlines and follow up on pending matters.
• Able to work independently and coordinate well with other departments.

Responsibilities

• Prepare and update parts orders, invoices, delivery orders and related documents.
• Enter parts transactions accurately into the DMS and tracking records.
• Monitor outstanding orders, parts arrival and backorders. Update the relevant team on any delays.
• Check that cash orders have the required deposit or payment proof and warranty orders have approval before processing.
• Coordinate with Service Advisors and Body & Paint staff on parts requirements and collection.
• Assist with receiving parts, checking quantities and reporting shortages, damage or incorrect items.
• Maintain proper filing of purchase orders, official receipts, warranty approvals and supporting documents.
• Assist with stock checks and monitor special-order parts awaiting collection or replacement.
• Prepare regular updates on outstanding orders and aging parts.
• Follow company procedures for parts ordering, payment and release.
