Qualifications

  • Bachelor of Laws (LLB) or equivalent recognized qualification.
  • 2–3 years of relevant experience in legal, contract administration or in-house legal environment.
  • Experience in reviewing and administering commercial or service contracts preferred.
  • Familiarity with contract stamping procedures and corporate documentation advantageous.
  • Proficient in MS Office and electronic document-management systems.

Responsibilities

  • Contract Administration: maintain contract master list, approvals, renewals and expiry.
  • Prepare contract summaries, obligation trackers, and status reports for management.
  • Legal Support: draft/review standard agreements, notices, letters and other documents.
  • Conduct legal research and prepare summaries for review by Manager, Legal.
  • Assist in negotiations, disputes management, and compliance tasks.
  • Liaise with internal departments for instructions and documents required.
  • Develop and maintain standard contract templates, checklists and guidance materials.
  • Attend meetings and maintain records of legal advice and actions.
  • Ensure timely completion of reviews, execution and stamping.

Job description

To support the Legal Department in managing the Group’s contracts and day-to-day legal matters. The role will primarily oversee contract administration while assisting with drafting, reviewing, legal research, compliance and other operational legal requirements.

Key Responsibilities

Contract Administration

  • Maintain and update the Group’s contract master list, including the status of drafting, review, approval, execution, stamping, renewal and expiry.
  • Coordinate the circulation of contracts for internal approval and execution by the authorized signatories.
  • Monitor contractual deadlines, renewal dates, notice periods, performance bonds, retention sums, insurance requirements and other key obligations.
  • Coordinate the stamping of agreements and ensure that all instruments are submitted within the prescribed period.
  • Maintain complete physical and electronic records of contracts, correspondence, approvals and supporting documents.
  • Follow up with the relevant departments, clients, vendors and other parties on outstanding documents, signatures and contractual information.
  • Prepare contract summaries, obligation trackers, responsibility matrices and status reports for management.

Legal Support

  • Assist in drafting and reviewing standard agreements, letters of award, addenda, renewal letters, termination notices, demand letters, undertakings, corporate documents and other legal correspondence.
  • Conduct legal research and prepare preliminary legal opinions or summaries for review by the Manager, Legal.
  • Review quotations, proposals, tender documents and operational arrangements to identify legal and contractual risks.
  • Assist in negotiations with clients, vendors and other contracting parties.
  • Support the management of disputes, claims, debt recovery matters and external solicitors.
  • Assist in ensuring compliance with applicable laws, regulatory requirements and the Group’s internal policies and procedures.
  • Liaise with internal departments to obtain instructions, supporting documents and operational information required for legal matters.
  • Assist in developing and maintaining standard contract templates, legal procedures, checklists and internal guidance materials.
  • Attend meetings, prepare minutes and maintain proper records of legal advice, agreed actions and follow-up items.
  • Perform any other legal or contract-related duties assigned by the Manager, Legal.
Job Requirement
  • Bachelor of Laws (LLB) or equivalent recognized qualification.
  • At least two (2) to three (3) years of relevant experience in legal, contract administration or an in-house legal environment.
  • Experience in reviewing and administering commercial or service contracts is preferred.
  • Familiarity with contract stamping procedures and corporate documentation will be an advantage.
  • Proficient in Microsoft Office and electronic document-management systems.
  • Strong drafting, reviewing and legal research skills.
  • Good organizational and contract-tracking capabilities.
  • Strong attention to detail and ability to manage multiple deadlines.
  • Clear written and verbal communication skills.
  • Ability to work independently under the supervision of the Manager, Legal.
  • Sound judgment in identifying matters requiring escalation.
  • High standards of confidentiality, integrity and professionalism.
  • Practical, responsive and commercially aware approach to legal work.
  • Accuracy and completeness of the contract master list and legal records.
  • Timely completion of contract reviews, execution and stamping.
  • Effective monitoring of renewals, expiry dates and contractual obligations.
  • Quality and accuracy of legal drafts and preliminary reviews.
  • Responsiveness to internal legal requests.
  • Reduction in outstanding contracts and administrative backlogs.
  • Must be Malaysian Citizen and willing to work at Menara UOA, Bangsar
