Asian Trails (M) Sdn Bhd in Malaysia is seeking an Operations Executive (Inbound) to coordinate daily ground arrangements across Peninsular Malaysia, liaising with tour guides, transport providers, attractions and internal teams to ensure on‑time delivery and service quality.

Purpose of the role
Asian Trails’ Operations Executive (Inbound) is responsible for the smooth and efficient coordination of daily ground arrangements for our inbound travel operations across Peninsular Malaysia. The role involves coordinating with ground suppliers, tour guides, transport providers, attractions and internal teams to ensure that all operational arrangements are properly planned, confirmed and delivered according to the agreed itinerary and service standards.
You will also be responsible for preparing operational documentation, coordinating in-house driver assignments and vehicle matters, checking supplier invoices, and ensuring that operational requirements are followed up in a timely and accurate manner.
You will play an important role to:
Manage daily ground arrangements across Peninsular Malaysia, coordinating with tour guides, transportation providers, attractions and other suppliers to ensure smooth service delivery.
Prepare and coordinate operational arrangements and documentation, including transfer logs, excursions, overland arrangements, packages and other documents related to tour movements.
Coordinate in-house drivers and company vehicles, including driver assignments, vehicle maintenance, inspections, servicing and other related operational matters.
Check and process supplier invoices, including guides, transporters and other service providers, ensuring rates, services and supporting documents are accurate and submitted for timely payment.
Handle operational issues and follow-ups, working closely with Reservations, Finance, Contracting, suppliers, guides and drivers to manage last-minute changes and ensure all arrangements are completed on time and according to company standards.
To be successful in this role, you will need to have:
Diploma/Degree in Hospitality, Tourism, Travel Management or a related field.
1–3 years of experience in travel, tourism, hospitality or destination management, preferably in an inbound/DMC environment.
Good command of English and Malay, both verbally and in writing.
Good knowledge of Peninsular Malaysia, including major destinations, attractions, transportation routes and tourism services.
Strong coordination and organisational skills with the ability to manage multiple operational arrangements simultaneously.
Good attention to detail, particularly when handling operational documents, schedules, supplier rates and invoices.
Good communication and problem-solving skills, with the ability to work effectively with suppliers, drivers, guides and internal departments.
Experience with Destination Management software and excellent command of Microsoft Office applications (Excel, Word, Outlook) is an advantage.
