Job summary

Jobstreet Malaysia is seeking an Executive / Senior Operations Executive in Johor Bahru to oversee daily freight forwarding operations, including import/export, cross-trade, customs clearance and project cargo. You will collaborate with customers, shipping lines, customs and internal teams to ensure efficient, compliant service.

The role requires strong leadership, problem-solving abilities and hands-on operations experience in logistics.

Qualifications

• Diploma or Bachelor’s degree in Logistics, SCM, Business Admin or related field.
• Minimum 5 years of experience in freight forwarding, logistics, shipping or transportation operations.
• Experience supervising an operations team is preferred.

Responsibilities

• Report to Branch Manager on operational performance and shipment status.
• Plan, coordinate and monitor daily freight forwarding operations including import/export and project cargo.
• Supervise and coach the operations team for productivity and SOP compliance.
• Coordinate with customers, shipping lines, transporters, customs, overseas agents and internal teams.
• Monitor shipment progress, vessel schedules and delivery timelines.
• Handle enquiries and resolve operational issues to maintain service excellence.
• Ensure all customs declarations and shipping docs comply with regulations and SOPs.
• Maintain accurate operation records and data integrity.
• Identify bottlenecks and implement process improvements for efficiency.
• Support Branch Manager in resource planning and workload allocation.

We are seeking a proactive and experienced Executive / Senior Operations Executive to oversee and coordinate daily freight forwarding operations at our Johor Bahru branch. This role is responsible for ensuring the smooth execution of import, export, cross-trade, customs clearance, and project cargo shipments while maintaining high service standards and operational efficiency. The successful candidate will work closely with customers, shipping lines, customs authorities, transporters, and internal teams, while supporting the Branch Manager in driving operational excellence, compliance, and continuous process improvement. Strong leadership, problem-solving abilities, and hands-on operational experience in the logistics industry are essential for this role.

Job Responsibilities

• Report directly to the Branch Manager on operational performance, shipment status, customs matters, and project updates.
• Plan, coordinate, and monitor daily freight forwarding operations, ensuring the smooth execution of import, export, cross-trade, and project cargo shipments.
• Supervise, coach, and guide the operations team to ensure efficient workflow, high productivity, and adherence to company standards.
• Coordinate closely with customers, shipping lines, transporters, customs authorities, overseas agents, and internal departments to ensure timely and cost-effective shipment execution.
• Monitor shipment progress, vessel schedules, cargo movements, and delivery timelines to ensure customer requirements are met.
• Handle customer enquiries, operational issues, and complaints professionally, providing prompt and effective solutions to maintain service excellence.
• Ensure all customs declarations, shipping documentation, and operational processes comply with regulatory requirements, company SOPs, and industry standards.
• Review and maintain accurate operational records, shipment documentation, and reports to ensure timely submission and data integrity.
• Identify operational bottlenecks, recommend process improvements, and implement initiatives to enhance efficiency and service quality.
• Support the Branch Manager in resource planning, workload allocation, and operational decision-making.
• Perform any other duties assigned by the Branch Manager from time to time.

Job Requirements

• Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Business Administration, or a related field.
• Minimum 5 years of experience in freight forwarding, logistics, shipping, or transportation operations.
• Experience in handling import, export, customs clearance, cross-trade, and project cargo operations will be an added advantage.
• Previous experience in supervising or leading an operations team is preferred.
• Strong knowledge of customs regulations, shipping documentation, freight forwarding procedures, and logistics operations.
• Excellent leadership, communication, interpersonal, problem-solving, and decision-making skills.
• Strong organizational skills with the ability to manage multiple priorities and meet tight deadlines.
• Able to work independently and perform effectively under pressure.
• Proficient in Microsoft Office applications (Excel, Word, and Outlook).
• Fluent in English and Bahasa Malaysia. Mandarin proficiency is an added advantage to liaise with Mandarin-speaking customers and business partners.
