Job summary

Greenpeace Southeast Asia is seeking an experienced Logistics Consultant to lead the operational planning, coordination, and on-site oversight for the Rainbow Warrior III port call in Kudat, Sabah.

You will act as the key focal point to ensure onshore and offshore activities, vendor management, and movement of teams and equipment are delivered on time, within budget, and in line with safety and Greenpeace requirements.

Qualifications

• Proven experience in event logistics, field operations, or maritime/vessel project management.
• Ability to manage third-party vendors, suppliers, and local service providers.
• Strong organizational, risk management, and problem-solving skills.
• Excellent communication skills in English and Bahasa Malaysia.
• Ability to work independently on-site.

• Requirements Gathering: Consolidate needs for transportation, accommodation, site equipment, supplies, and event support.
• Implementation Phase: Liaise between Greenpeace teams, Rainbow Warrior III crew, local authorities, and the Port Agent; coordinate vendors for accommodation, transport, equipment, catering, and storage.
• Budget Tracking: Monitor logistics commitments and procurement documentation against the budget.

Greenpeace Southeast Asia is seeking an experienced Logistics Consultant to lead the operational planning, coordination, and on‑site oversight for the upcoming Rainbow Warrior III port call in Kudat, Sabah. You will act as the key operational focal point ensuring that onshore and offshore activities, event setup, local vendor management, and movement of teams and equipment are delivered on time, within budget, and in full compliance with safety, environmental, and Greenpeace requirements.

Note: This role is focused on dedicated coordination and on‑site management. The Consultant will work alongside the appointed, licensed Shipping/Port Agent, who remains responsible for all statutory maritime, customs, immigration, and ISPS clearances.

Scope of Work & Deliverables:

The assignment is structured into four main operational phases:

1. Planning Phase (Oct – Nov 2026)
   • Logistics Plan & Action Tracker: Develop and maintain a comprehensive logistics execution plan, detailed timelines, action trackers, and risk/contingency frameworks.
   • Requirements Gathering: Consolidate needs for transportation, accommodation, local site equipment, supplies, and event support.
2. Implementation Phase (Oct – Nov 2026)
   • Stakeholder Liaison: Implement the logistics plan between internal Greenpeace teams, the Rainbow Warrior III crew, local authorities, and the appointed Port Agent.
   • Vendor & Supply Chain Management: Coordinate local vendors for accommodation, local transport/transfers, equipment delivery/storage, catering and other logistics needs as they arise.
   • Budget Tracking: Track logistics commitments and procurement documentation against the approved budget (financial approval rests with Greenpeace).
3. On‑Site Management Phase (15 – 25 December 2026)
   • Field Execution: Implement day‑to‑day logistics during vessel arrival, berthing, public/offshore event activities, and departure in Kudat.
   • Site & Issue Resolution: Serve as the on‑site point of contact to resolve vendor issues, access needs, and operational contingencies in real time.
4. Close‑Out Phase (Dec 2026 – Jan 2027)
   • Reconciliation: Hand over all complete vendor records, permit copies, correspondence, and documentation.
   • Final Reporting: Submit a concise Final Logistics Report capturing key deliverables, operational outcomes, budget summary, and lessons learned.

Key Qualifications & Requirements:

• Proven experience in event logistics, field operations, or maritime/vessel project management (experience operating in Sabah or Kudat is a strong advantage).
• Demonstrated ability to manage third‑party vendors, suppliers, and local service providers.
• Strong organizational, risk management, and problem‑solving skills with high attention to detail.
• Excellent communication skills in English and Bahasa Malaysia to effectively liaise with vessel crew, local suppliers, and authorities.
• Ability to work independently on‑site under tight event timelines.
