Lavender Confectionery & Bakery Sdn. Bhd. is seeking an Administration Manager to lead and standardize administrative operations across two manufacturing sites in Shah Alam and Plentong.

You will partner with Corporate Management to ensure compliant, cost‑effective and well‑run infrastructure supporting uninterrupted manufacturing activities. The role requires hands‑on leadership of facilities, licensing, security, vendor management and cross‑site process standardization, with a focus on service

Qualifications

• Experience leading multi-site administrative operations.
• Experience coordinating factory facilities administration.
• Experience with government/local authority liaison and inspections.
• Experience security and emergency administration.
• Experience managing administrative service providers and vendor performance.
• Experience preparing annual budgets and cost-control initiatives.

Responsibilities

• Lead the overall administration operations of Shah Alam and Plentong factories and establish common administrative standards across both locations.
• Coordinate the administration of factory premises, office facilities, workplace conditions and employee amenities.
• Oversee administrative control of factory access, manage employee, visitor and contractor access procedures, and maintain records relating to keys, access cards and security passes.
• Maintain a master register of applicable administrative licenses and permits, monitor expiry and renewal dates, and coordinate documentation and renewal submissions.
• Coordinate administrative vendors and service providers, monitor vendor service quality and agreed service standards, and coordinate contract renewal processes.
• Prepare the annual administration budget for both factories, monitor monthly expenditure against approved budgets, and implement cost‑control initiatives.
• Establish and maintain a structured administration filing system and ensure proper control of contracts, licenses, permits, vendor documents and administrative correspondence.
• Coordinate employee administrative support services, monitor staff facilities and amenities, and work closely with HR on employee welfare matters.
• Maintain administrative asset registers for both factories, conduct periodic physical verification, and record asset movements and transfers.
• Lead and supervise administrative personnel, establish clear job responsibilities, set individual and team KPIs, and conduct performance reviews.
• Lead and standardize administrative SOPs and forms across multiple locations and conduct cross‑site administrative audits.
• Prepare management reports, dashboards and KPIs covering administration, facilities, vendors, compliance and expenditure.
