We are seeking a proactive and detail-oriented Legal Executive / Legal Admin to join our Legal Team. This role will provide direct day-to-day support to the Head of Legal and the existing Legal Executive across the full range of the department's work, including corporate secretarial matters, licensing projects, regulatory documentation, and legal administration. This is a support and execution role rather than a standalone independent-ownership one. The successful candidate will work closely under the guidance of legal team members while taking on real, substantive tasks. Some basic legal working experience is required so the candidate can pick up legal concepts and documentation quickly, but prior independent case/project ownership is not expected.
Key Responsibilities
Corporate Secretarial & Governance Support
- Assist in maintaining statutory records, registers, minute books, and governance documents across group entities in multiple jurisdictions.
- Help prepare and file statutory forms and returns (e.g. annual returns, financial statements, business registration renewals, economic substance declarations) and follow up with internal stakeholders (e.g. Finance) and external company secretaries/registered agents on progress.
- Support ad-hoc changes to company or shareholding details, and monitor registered address/office services.
- Support board and committee administration, including scheduling, papers, minutes, and follow-up on action items.
- Coordinate with external service providers, regulators, auditors, and other stakeholders as directed.
- Help monitor legal and regulatory developments and flag relevant updates to the Head of Legal.
- Support post-licensing maintenance requirements that overlap with corporate secretarial work, e.g. keeping licence-linked statutory filings, registers, and corporate records up to date so they stay consistent with ongoing regulatory obligations.
Licensing Support
- Support the Legal Team on licensing projects, including preparing documents, coordinating submissions, and following up with regulators.
- Track licensing reporting calendars and compliance obligation deadlines.
- Assist with research on licensing requirements and regulatory processes across jurisdictions.
- Support post-licensing maintenance, including periodic regulatory filings and returns, licence renewals, notifications of company/shareholding changes, and monitoring compliance training/attendance requirements for relevant officers, to keep licences in good standing after they are granted.
Legal Administration & Documentation
- Organize and maintain the Legal Department's document repository, contract database, and filing systems.
- Ensure systematic archiving of agreements, corporate documents, and compliance records, with a clear audit trail.
- Manage contract lifecycle admin — tracking signatures, renewal dates, and expiries.
- Assist with incorporation-related admin (e.g. name reservation checks, standard forms) and support drafting of straightforward documents (e.g. letters of engagement, intercompany services agreements, organisation charts) under supervision.
- Help improve document accessibility, templates, and internal processes.
Team & Legal Support
- Provide day-to-day research and administrative support directly to the Head of Legal and the Legal Executive.
- Assist in drafting, reviewing, and formatting commercial agreements, NDAs, and internal policies under supervision.
- Support cross-department initiatives and ad-hoc legal or compliance projects as assigned, including administrative support on entity wind-downs/liquidations where relevant (e.g. monitoring document handover and closure formalities).
Any other ad-hoc duties assigned by the Superior from time to time.
Requirements
- Bachelor's degree in Law, Corporate Administration, or related field.
- Fresh graduates with a genuine interest in corporate/regulatory work through to candidates with a few years of basic legal working experience (e.g. legal firm, corporate secretarial practice, or in-house legal support) are welcome to apply — enough familiarity with legal documentation and terminology is a plus, but independent project ownership experience is not required.
- Some familiarity with statutory compliance requirements (e.g. Companies Act, corporate secretarial practice) is an advantage.
- Strong organizational and documentation skills, with high attention to detail.
- Proficiency in cloud-based file management and document systems.
- Proactive, willing to learn, and comfortable taking direction while handling substantive legal admin work.
- Strong interpersonal skills and ability to work effectively across cross-functional teams.
