Job summary

Ninja Mart is seeking a proactive Industrial Relations Intern in Malaysia to assist the IR team with employee relations matters, documentation, and training activities. You will gain exposure to Malaysian employment law, disciplinary processes, and engagement initiatives.

Key duties include supporting letter writing, documentation, data entry, and preparation of reports, while coordinating IR-related training and events.

Qualifications

• Currently pursuing a Bachelor's Degree in: Law (Preferred), Human Resource Management, Industrial Relations, Business Administration, or related disciplines.
• Basic understanding of Employment Law and Industrial Relations principles.
• Strong verbal and written communication in English and Bahasa Malaysia.
• Proficient in Microsoft Office applications.
• Detail-oriented with strong administrative capabilities.
• Able to work independently with guidance when needed.
• Genuine interest in Industrial Relations and Employment Law.
• Eager to learn and take initiative.
• Responsible and proactive with good attendance and punctuality.

Responsibilities

• Industrial Relations Support: Show Cause Letters, Warning Letters, investigation-related documents, meeting minutes and correspondence.
• Maintain documentation and employee records for IR matters.
• Assist in compiling information and preparing reports on employee relations.
• Conduct basic research on employment legislation, regulations, and best practices.
• Administrative Support: day-to-day IR operations, filing (physical and electronic), data entry and record management.
• Prepare spreadsheets, summaries, and reports using Microsoft Excel.
• Training & Event Coordination: assist in organizing IR training sessions and workshops.
• Ensure all admin requirements are prepared before training sessions.
• General Support: liaise with employees and internal stakeholders; escalate complex matters.
• Perform other duties as assigned by supervisor.
