The Indoor Sales Executive is responsible to provide administrative, operational, and commercial support to the Sales team/ Branch Manager by managing quotations, customer enquiries, sales documentation, intercompany billing, and coordination with internal departments. The role ensures efficient sales operations, supports business growth initiatives, and maintains high levels of customer satisfaction.
Support intercompany billing processes and ensuring timely and accurate billing transactions.
Prepare freight quotations for air freight, sea freight, road transport, and other logistics services.
Follow up on quotations with customers to maximize conversion opportunities and secure new business.
Assist Sales team / Branch Manager in managing existing customer accounts and identifying opportunities for business growth.
Support tender submissions, Requests for Quotation (RFQ), rate negotiations, and customer presentation preparations as required.
Respond promptly and professionally to customer enquiries regarding freight rates, transit times, schedules, service options, and shipment status.
Provide after-sales support to customers and ensure service issues are addressed effectively.
Maintain strong customer relationships through regular communication and follow-up activities.
Escalate customer concerns and coordinate with relevant departments to ensure timely resolution.
Prepare, maintain, and update all sales related documents including quotations, customer records, and reports.
Coordinate closely with Operations, Customer Service, Finance, and other internal departments on shipment requirements, documentation, invoicing, and credit terms.
Monitor the progress of shipments and support smooth communication between customers and internal stakeholders.
Assist in resolving operational, documentation, and billing issues to ensure service excellence.
Ensure all sales support activities comply with company policies, standard operating procedures (SOPs), and freight forwarding regulations.
Maintain confidentiality of customer and commercial information.
Support process improvement initiatives to enhance efficiency, accuracy, and customer satisfaction.
Support special projects as assigned, in line with business priorities and within the scope of the role.
Diploma or Bachelor's Degree in Business Administration, Logistics, Supply Chain Management, Logistics, Marketing, or a related field.
Minimum 1 year of experience in Indoor Sales, Customer Service, Freight Forwarding, Logistics, or a related commercial support role. Experience in the freight forwarding, or logistics is preferred.
Knowledge of air freight, sea freight, road transport, customs clearance, and logistics operations.
Strong communication and customer service skills.
Good organizational and administrative capabilities.
Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
Attention to detail with strong accuracy in quotation and documentation management.
Ability to manage multiple tasks and work under tight deadlines.
Strong interpersonal skills and ability to work collaboratively across departments.
