A leading HR solutions provider based in Kuala Lumpur seeks a skilled HR Operations & Administration professional. This role involves managing HR administrative functions, payroll processing using the HR2eazy system, and ensuring compliance with statutory requirements. Candidates should possess a relevant qualification and a minimum of 2–3 years of HR experience. Strong analytical and communication skills, alongside proficiency in Microsoft Office and HR systems, are essential. The ideal candidate will maintain confidentiality and exhibit professionalism throughout their responsibilities.
Manage full HR administrative functions including personnel records, employee files, HR databases, and HR2eazy HRIS.
Ensure compliance with statutory regulations, company policies, ISO requirements, and ethical standards.
Handle employee movements: onboarding, transfers, promotions, confirmations, resignations, and terminations.
Prepare and maintain HR documentation, SOPs, forms, and process updates.
Prepare and process monthly payroll accurately and timely using HR2eazy.
Ensure correct payroll components: allowances, overtime, claims, deductions, absenteeism, leave adjustments.
Prepare and submit monthly statutory payments (EPF, SOCSO, EIS, PCB) on time.
Maintain payroll confidentiality and resolve payroll queries.
Maintain accurate attendance, leave records, medical claims, and absenteeism data.
Track attendance discrepancies and prepare timely reports.
Administer employee benefits with proper documentation and approvals.
Handle staffing requests, screening, shortlisting, and interview coordination.
Prepare offer letters, employment contracts, confirmation letters, increment/bonus letters, and other HR correspondence.
Prepare, submit, and monitor ESD applications for expatriates, including new employment passes and renewals.
Manage immigration documentation through online portals and ensure timely follow-up.
Handle HRDF submissions, registrations, training claims, and maintain proper records in compliance with HRD Corp requirements.
Coordinate internal and external training programs as per company and HRDF requirements.
Maintain training plans, training matrix, and competency tracking.
Identify training needs with departments and liaise with training providers.
Ensure all training evaluations, records, and documentation are updated and audit‑ready.
Maintain strict confidentiality of all HR matters, including employee information, payroll data, and expatriate documentation.
Certificate/Diploma/Degree in Human Resource Management, Business Administration, or related field.
Minimum 2–3 years of HR Generalist experience.
Experience using HR2eazy payroll system is required.
Strong analytical skills and high attention to detail.
High integrity, maturity, and professionalism.
Good interpersonal, communication, and negotiation skills.
Able to work under pressure and meet tight deadlines.
Proficient in Microsoft Office and HR systems.
Independent, proactive, and solution‑oriented.
Good proficiency in Bahasa Malaysia and English.
