Job summary

KY MAJU MART SDN BHD is seeking an HR professional to manage recruitment, onboarding and comprehensive employee administration in Kuantan, Malaysia. You will screen candidates, coordinate interviews and prepare offers, ensuring a smooth onboarding process for new hires.

The role covers payroll preparation, attendance checks, statutory matters, training coordination and HR policy advisory, with responsibilities across multiple outlets as required.

Responsibilities

• Screen and shortlist candidates.
• Arrange and conduct interviews.
• Prepare offer/appointment letters.
• Coordinate new employee onboarding.
• Maintain and update employee records.
• Manage staff personal files and HR system.
• Prepare confirmation, increment, transfer, warning, probation extension and termination letters.
• Monitor probation and contract expiry dates.
• Handle resignation and exit procedures.
• Prepare and verify monthly payroll.
• Check attendance, MC, leave, unpaid leave and overtime.
• Calculate OT and relevant allowances/deductions.
• Coordinate EPF, SOCSO, EIS, PCB and other statutory matters.
• Handle employee complaints and grievances.
• Advise staff and managers on HR policies.
• Handle disciplinary matters and issue relevant HR documents.
• Ensure company rules and policies are followed.
• Monitor annual leave, medical leave and other leave.
• Manage staff benefits, claims and insurance matters.
• Maintain accurate leave and benefits records.
• Ensure HR practices comply with Malaysian employment laws.
• Maintain proper HR documentation and confidential records.
• Handle statutory registration/submission and foreign worker-related matters where applicable.
• Arrange staff training and orientation.
• Maintain training records.
• Coordinate employee development and performance appraisal.
• Visit outlets when necessary.
• Support outlet managers regarding staff issues.
• Monitor manpower requirements.
• Assist with new branch opening and staff arrangement.
