We are seeking a structured, proactive, and detail-orientedHR cum Admin Executiveto manage our human resources functions and office administration for our team of under 50 employees. A critical pillar of this role is maintaining ourISO 9001 Quality Management System (QMS)documentation and acting as the primary liaison for SIRIM and other external certification bodies regarding product, fire, and technical testing compliance.
(Note: This role does not require handling payroll processing.)
Document Control:Maintain, update, and organize all HR and administrative documentation in strict compliance with ISO 9001:2015 standards.
Audit Facilitation:Serve as the main coordinator for annual surveillance and recertification audits conducted bySIRIMand other certification bodies.
Technical Compliance Support:Assist management in compiling, filing, and tracking documentation for specialized certifications, including fire-rated testing, product certifications, and other statutory compliance tests.
Internal Audits:Coordinate internal QMS audits, track non-conformance reports (NCRs), and ensure corrective actions are implemented across departments.
Talent Acquisition:Manage the end-to-end recruitment process (job postings, screening resumes, scheduling interviews, and onboarding new hires).
Employee Relations:Serve as the primary point of contact for employee grievances, counseling, and disciplinary matters for our workforce (under 50 headcount).
Training & Development:Identify training needs, maintain training matrices for ISO compliance, and manage HRD Corp (HRDF) claims and training applications.
Performance Management:Coordinate and document the annual staff evaluation and appraisal process.
Attendance & Leave Tracking:Maintain accurate records of employee attendance, medical leaves, and annual leave utilizing our internal system (to be fed into the payroll system managed by finance/external vendors).
Vendor & Office Upkeep:Manage office supplies procurement, maintenance of office equipment, and cleanliness of the administrative office.
Incoming/Outgoing Correspondence:Handle corporate emails, couriers, and official correspondence with government authorities, clients, or suppliers.
Licensing & Renewals:Monitor and renew company licenses, corporate insurance policies.
Education:Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, or a related field.
Experience:Minimum 3–5 years of working experience in an HR and administrative role, preferably within themanufacturing, construction, or engineering sectors.
ISO Knowledge:Proven, hands-on experience handlingISO 9001 documentation and SIRIM auditsis highly advantageous.
Meticulous & Structured:High attention to detail with an organic knack for systematic filing and document control.
Communication:Excellent verbal and written communication skills in English and Bahasa Malaysia (Mandarin is a strong plus for vendor/worker communication).
Interpersonal Skills:Empathetic yet firm; able to connect well with both factory operators and corporate auditors.
Software Literacy:Proficient in Microsoft Office (Word, Excel, PowerPoint) and standard HR/Leave management software.
