Job summary

Private Advertiser is seeking a Purchasing Officer in Malaysia to manage daily hotel purchasing activities, ensuring timely procurement of quality goods at competitive prices. You will collaborate with hotel departments, suppliers, Receiving, Store, and Finance to source, approve, deliver, and record purchases in line with hotel policies.

Responsibilities include sourcing a wide range of items, negotiating terms, processing POs, tracking deliveries, and maintaining accurate records.

Qualifications

• Negotiation with suppliers for price, terms and delivery.
• Timely processing of Purchase Orders based on approved requisitions.
• Ability to obtain and compare quotations from multiple suppliers.

Responsibilities

• Source and purchase hotel supplies, operating equipment, food & beverage items, housekeeping supplies, engineering materials, and other requirements.
• Obtain and compare quotations and negotiate prices, payment terms, and delivery schedules with suppliers.
• Prepare and process Purchase Orders (PO) based on approved Purchase Requisitions (PR).
• Follow up with suppliers to ensure timely delivery and resolve any delivery or quality discrepancies.
• Verify that goods received meet the required quantity, quality, specifications, and agreed pricing.
• Maintain proper purchasing records, including quotations, POs, delivery orders, and invoices.
• Maintain and update the approved supplier list and assist in sourcing new suppliers when required.
• Monitor market prices and conduct price comparisons to support cost control.
• Ensure purchasing activities comply with approved budgets, hotel policies, and procurement procedures.
• Assist with supplier performance evaluation and purchasing reports.
• Perform other purchasing duties as assigned by the Purchasing Manager or Management.
