Job summary

KPJ Pasir Gudang Specialist Hospital seeks an HIMS Assistant to support daily health information management operations. You will ensure confidential, accurate filing, retrieval, and maintenance of patient records while complying with PDPA, MSQH, and hospital policies.

The role involves processing medical reports, data entry, scanning, indexing, and statistics gathering, with emphasis on accuracy, confidentiality, and timely delivery.

Qualifications

• Diploma in healthcare management or related field.
• SPM holders with healthcare administrative experience may be considered.
• Certified Clinical Coder or equivalent credential preferred.
• Minimum 1–2 years of healthcare administration, medical records, or hospital operations is an advantage.
• Knowledge of PDPA and ICD-10/ICD-11; familiarity with HIMS/medical records.

Responsibilities

• Assist in processing medical reports, records requests, data entry, scanning, indexing, and statistical reporting.
• Retrieve, file, sort, and maintain patient medical records accurately and efficiently.
• Ensure records are assembled, organized, and available when required.
• Monitor movement and tracking of medical records to prevent loss or misfiling.
• Assist in record retention, storage, and disposal per hospital policies.
• Receive and process applications for medical reports and records requests.
• Verify supporting documents and ensure completeness of requirements.
• Monitor turnaround times and coordinate with consultants and departments for pending reports.
• Scan, upload, index, and verify documents in the hospital information system.
• Ensure electronic records are complete, accurate, and easily retrievable.
• Report system issues affecting medical record management and assist in data accuracy for reporting.
