Job summary

KPJ Selangor Specialist Hospital is seeking a Health Information Management Services (HIMS) Assistant to support daily operations, ensuring accurate management and confidentiality of patient records in compliance with MSQH, PDPA, and hospital policies.

Responsibilities include processing reports, filing records, data entry, scanning, indexing, and statistics reporting, while maintaining data integrity and privacy. Fresh graduates may apply; Diploma or related qualification preferred.

Qualifications

• Diploma in healthcare management or related field.
• SPM holders with healthcare administrative experience may be considered.
• Certified Clinical Coder or equivalent credential preferred.
• 1–2 years of healthcare administration, medical records, or hospital operations is an advantage.
• PDPA awareness and ICD-10/ICD-11 knowledge.
• HIMS/medical records familiarity.
• Strong analytical and problem-solving skills.
• Detail-oriented with accuracy.
• Proficiency in Excel and PowerPoint.
• Results-oriented, can meet deadlines.

Responsibilities

• Assist in processing medical reports, records requests, data entry, scanning, and statistics.
• Retrieve, file, and maintain patient medical records accurately.
• Ensure records are assembled, organized, and available when required.
• Monitor movement of records to prevent loss or misfiling.
• Assist in retention, storage, and disposal according to policies.
• Receive and process applications for medical reports and records requests.
• Verify documents and ensure completeness of requirements.
• Follow up on requests to meet turnaround targets.
• Coordinate with consultants and departments regarding pending reports.
• Scan, upload, index, and verify documents in HIS.
• Ensure electronic records are complete and retrievable.
• Report system issues affecting medical record management.
• Assist in compiling patient statistics and departmental reports.
• Assist in maintaining data accuracy for reporting.
• Maintain strict confidentiality of patient information.
• Release records only per policies and authorized procedures.
• Comply with PDPA and information governance policies.
• Adhere to SOPs and hospital policies.
• Participate in quality improvement, audits, and accreditation.
• Report incidents or non-compliance related to medical records.
• Support department in achieving KPIs.
• Respond to inquiries from patients, consultants, insurers, employers, and others.
• Assist with medical report applications and related services.
• Ensure customer requests are handled promptly and courteously.
• Gather external forms from JPN branches within stipulated time.
• Liaise with medical practitioners to clarify documentation.
• Liaise with stakeholders regarding HIMS-related matters.

Education

Diploma in healthcare management

SPM holders with healthcare admin experience

Certified Clinical Coder or equivalent credential

Fresh graduates welcome

Knowledge of PDPA and ICD-10 & ICD-11

Familiarity with HIMS / medical records

Analytical and problem-solving skills
