Sinkang Administration Sdn Bhd is seeking a detail-oriented administrator to manage reservations and passenger manifests for Kota Kinabalu operations. The role also coordinates procurement of supplies, prepares purchase orders, and liaises with suppliers to ensure timely deliveries.
You will handle PDPA-compliant data management, maintain records, and monitor licences and contracts. Strong Excel/Word skills and multilingual communication are essential for success.
1. Reservations and Passenger Manifest Management
Handle booking requests from partner travel agencies based on a “request and confirmation” system. No fixed seat allocation will be provided.
Collect and verify passenger details, including dates of birth, age eligibility, health declarations, and meal selections. Follow up on any missing or incomplete information.
Prepare and submit the following within the required deadlines:
Travel insurance enrolment list
Prepare and send the island operations sheet before each departure, including meal quantities, main-course selections, equipment sizes, group arrangements, and health remarks.
Issue booking confirmations and pre-departure information to travel agencies, and ensure that consent forms and insurance documents are complete.
Respond to enquiries relating to bookings, passenger lists, and billing.
Notify travel agencies of cancellations caused by adverse weather or sea conditions, and coordinate rescheduling and account adjustments.
2. Procurement and Operational Supplies Coordination
Procure food, beverages, souvenirs, gifts, and other operational supplies.
Prepare Purchase Orders (POs) based on operational requirements.
Liaise with suppliers and coordinate quotations, orders, deliveries, and related arrangements.
Ensure that all supplies required for departures and daily operations are prepared on time.
Coordinate with designated suppliers for coconuts, giveaways, gifts, and other related items.
3. Administration and Document Control
Manage general administrative matters and document filing for the Kota Kinabalu office.
Maintain proper records of incidents and supporting documents.
Handle passengers’ personal information in accordance with the Personal Data Protection Act (PDPA), ensuring secure access and storage. Passenger lists must not be circulated through shared spreadsheets.
Monitor the expiry dates of licences, permits, insurance policies, and contracts, and coordinate timely renewals.
Requirements
Possess a qualification in Accounting, Finance, Business Administration, or a related field, or at least 3 years of experience in accounting or administrative work.
Proficient in Microsoft Excel, Word, and general office applications.
Able to communicate effectively in English, Bahasa Malaysia, and Mandarin.
Detail-oriented, organised, and capable of handling confidential passenger information accurately.
Good communication, coordination, and problem-solving skills.
Able to manage multiple tasks and meet strict deadlines.
Experience in tourism, island operations, or supplier coordination will be an advantage.
