About the Role
We are looking for a proactive and detail-oriented Executive - Retail Operations to support the end-to-end execution of our Delivery & Installation operations. This role is responsible for coordinating installation and logistics arrangements, managing correspondences via the Signature App, and handling service reports, repair, and maintenance activities to ensure a smooth and efficient fulfilment process.
What you’ll be doing
- Planning and assign installation job to different installers.
- To prepare monthly installation report.
- To record (Manually) on received Jobs.
- To check and prepare to claims before submitting to Manager for verifications.
- Has the ability to know and how to handle installers’ complaint and resolve installers’ issue.
Logistic Arrangement
- To involve in logistic arrangement after sales order is secured.
- To issue shortage form and prepare shortage summary report, update daily and executed accordingly.
- To follow up closely on the shortage issues with detailer, purchaser & production planner.
- Update work progress, completion tasks of transporters for the transporter and clients.
- To plan, arrange & prepare schedule for installer, transporter, SRCF, IMR, rubbish collection on daily basis.
- Plan delivery trip upon email received from outstation branches.
- Follow up with transporter & installers for the actual time arrival at site (via Waze, Whatsapp & SMS) and update into schedule accordingly.
- To update ISO report on monthly basis.
- Produce accurate information for customers, transporters & installers.
To manage Signature App
- To key in all jobs and sub con schedule into APPS.
- Involve in information gathering & guidance for Sub-Cons on Signature App.
- Act as Contact point with IT on Signature Apps issue.
- Responsible for compiling an overall report.
- To arrange SR|RM schedule based on requests received.
- To review SR | RM root cause by checking with detailer before send off the team.
- To compile & Alert Retail Support on the finding of Common mistake from SC.
- To arrange for SR Van Service & Maintenance scheduling.
What We're Looking For
- Minimum SPM or Diploma in Business Administration, Supply Chain, Logistics, or a related field.
- Fresh graduates are welcome! We offer on-the-job training and dedicated mentorship to help you grow.
- Candidates with strong customer service experience are encouraged to apply.
- Well-developed organisational and planning skills.
- Strong interpersonal and verbal communication skills; able to build and maintain good working relationships with customers, transporters, installers, and other vendors.
- Proficient in scheduling and coordination.
- Familiar with routes and logistics within the Klang Valley area.
- Able to work under pressure and meet tight deadlines; resourceful and capable of working independently.
- Demonstrates problem-solving ability and a proactive mindset ("connect the dots").
